Job Description

Job Title: Executive Assistant Job Type: FTCWorking Pattern: Hybrid – 2 days per week in the London office, 3 days remoteLocation: LondonSalary: £39,500 - £50,000Overview: We are looking for a highly organised, proactive, and adaptable Executive Assistant to support senior leaders within a purpose-driven, global non-profit environment. This position extends beyond typical EA responsibilities, requiring strong project coordination capabilities, outstanding communication skills, and the ability to handle complex workflows with professionalism, discretion, and attention to detail. Key Responsibilities:

Complex diary and meeting management across global time zonesInbox management, including prioritising and responding to correspondenceProject manage key workstreams and priorities, ensuring deadlines are met and deliverables are completedWork closely with senior leadership and their direct reports to support team oversight and progress trackingPrepare high-quality documents, presentations, briefing materials, and internal/external communicationsOrganise and coordinate meetings, minute-taking, action tracking, and follow-upsPlan and manage detailed travel itinerariesProvide support for recruitment, onboarding, and offboarding processesOrganise team events, away days, and staff engagement initiativesManage expenses and invoices, including approvals on behalf of leadershipCollaborate with other EAs and provide cover where neededTake delegated budget responsibility where requiredWho You Are:

Exceptionally organised with keen attention to detailA confident communicator with excellent written and verbal EnglishResilient, calm under pressure, and able to manage multiple prioritiesProficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), Zoom, WebExExperience with DocuSign and Adobe is an advantageA true team player with a proactive and flexible attitudeAble to exercise discretion and manage confidential information sensitivelyComfortable with occasional out-of-hours contact if requiredDesirable: Experience in a global organisationAdditional language skills
