Our work is rooted in a deep understanding of the science and market dynamics, ensuring that every strategy is both innovative and actionable.We are growing and excited to welcome an Account Manager – Publications to our team, someone who will play a pivotal role in connecting our scientific rigor with seamless execution for our clients.Role OverviewAs an Account Manager - Publications, you will serve as the operational and client communication lead across a range of scientific publications projects. This role is ideal for someone with 1–2 years of experience in publication account coordination or early account management who is ready to step into a more senior, client-facing role. You’ll collaborate with internal content teams and clients to ensure seamless planning, execution, and delivery of high-quality scientific publications.Key ResponsibilitiesTeam Capacity & OperationsReview and update project milestones and timelines weekly (via Monday.com); validate capacity plans during manager status callsShare weekly task lists for all Content Team members with the Director and ManagersIdentify capacity constraints and flag resource needs proactivelyConfirm capacity and resource alignment at project initiationAttend regular capacity planning meetings with Operations and flag longer-term hiring needsProject ManagementAct as the primary day-to-day contact for clients, including scheduling meetings and managing review/approval communicationsDevelop and maintain detailed publication trackers; lead internal and client-facing status callsDraft project timelines in collaboration with the Scientific Director; track milestones and escalate risks with recommended solutionsManage project SharePoint folders, including setting up templates and organizing resources and correspondence per SOPOversee feedback tracking, ICMJE compliance, and submission processesLiaise with freelance writers and editors, ensuring smooth project transitions and timelinesInternal Culture & Knowledge SharingDrive timelines for internal team initiativesIn partnership with the Leadership Team, support the coordination of regular knowledge-sharing sessions and team meetingsSchedule and support Publication Team check-ins and internal discussionsRequirementsMinimum 2 years of experience in publication account coordination or 1 year in publication account managementExperience working with life sciences clients, scientific communications, or medical publicationsStrong organizational and project management skillsExcellent communication skills and attention to detailProficient in project management tools (e.g., Monday.com) and collaboration platforms (e.g., SharePoint)Experience working with or supporting cross-functional teams in a hybrid environmentHerspigel offers competitive compensation, bonus program, a RRSP matching program, group health and dental benefits, travel insurance and more.Herspiegel is an equal-opportunity employer and is committed to providing employment accommodations in accordance with the Ontario Human Rights Code and the Accessibility of Ontarians with Disabilities Act.
