Job Description

The Admin Assistant (Chinese Speaking) provides comprehensive administrative and organizational support to the General Manager (GM), ensuring that his responsibilities are carried out in an organized, efficient, and timely manner, in line with the company’s operating practices. The role serves as the GM’s primary point of contact for both internal and external stakeholders and requires the highest level of confidentiality, discretion, and professionalism in handling all business-related information.Key Responsibilities:Provide high-quality secretarial and administrative support to the GM.Manage the GM’s electronic diary by prioritizing appointments, scheduling meetings, and reallocating time as necessary to ensure optimal time management.Act as a key liaison between managers and external parties, coordinating meetings and maintaining effective communication.Ensure the GM is well prepared for a wide range of internal and external meetings, including:Arranging meeting venuesPreparing agendas and pre-meeting briefingsTaking meeting minutes, recording action items, and following up accordinglyResearch and collate information from internal and external sources to support reports and presentations for the GM.Proactively remind the GM of upcoming deadlines and commitments, such as management meetings, reports, presentations, conferences, and projects.Handle telephone calls professionally, redirect calls, take messages, and respond to inquiries using sound judgment and initiative.Sort, distribute, draft, and respond to incoming correspondence in a timely and efficient manner.Organize and maintain effective filing and document management systems.Arrange travel, visa applications, accommodation, and prepare detailed travel itineraries for the GM.Provide professional reception services to visitors.Organize events, conferences, meetings, and business lunches/dinners hosted by the GM.Prepare and submit expense claims on behalf of the GM.Support corporate secretarial duties, including coordination of documents for signatures and secure document handling.Maintain a professional personal appearance in line with company standards at all times.Perform general office administrative duties as required.Requirements:Minimum 3 years of relevant working experience.Bachelor’s Degree in any discipline; a major in Chinese Language or graduation from a university in China will be an advantage.Excellent proficiency in Chinese (spoken and written) or HSK Level 5 or above.Proficient in Microsoft Word, Excel, and PowerPoint.Strong communication skills with the ability to convey instructions and information clearly to individuals and groups.Flexible and adaptable, with the ability to manage changing priorities and varying workloads.Ability to work cooperatively and effectively within a team and across the organization.Strong multitasking, problem-solving, and time-management skills, with the ability to meet deadlines while maintaining a high standard of work.Professional personal presentation that reflects the company’s image and values.Willingness to travel upcountry frequently and work late hours when required.The Admin Assistant supports GM to perform his responsibilities in an organized and timely which is consistent with the operating practices
