Job Description

Key Responsibilities: Office Management:Manage daily office operations, ensuring that the administrative needs of the seafood project are met.Handle office supplies and inventory management, ensuring adequate stock levels for the office and project needs.Ensure the office environment is organized, clean, and conducive to efficient work.Coordinate maintenance of office equipment and arrange for repairs as necessary. 2.      Documentation and Record Keeping: Organize and maintain files, records, and documents related to the seafood project (e.g., contracts, permits, regulatory compliance documentation).Ensure that records are accurately updated and easily accessible when needed.Assist in the preparation and management of reports, presentations, and other documentation for management or stakeholders.Help maintain compliance with industry-specific regulations, ensuring all documentation is in line with legal and environmental requirements. 3.     Communication and Coordination: Serve as the main point of contact for internal teams, clients, and external partners, ensuring clear and effective communication.Coordinate meetings, calls, and other communications between departments (e.g., production, supply chain, quality assurance, etc.).Manage schedules and calendars for senior team members, ensuring timely meetings and appointments related to the seafood project.Assist with the communication of project updates and status reports to team members and stakeholders. 4.     Data Entry and Database Management: Input and update data related to the seafood project into databases, spreadsheets, or project management software.Track project progress, tasks, and deadlines, ensuring that the team meets milestones and timelines.Monitor inventory data (such as stock levels of seafood products and materials) and ensure that relevant information is accurately recorded and reported. 5.     Support Project Managers and Teams: Assist project managers in coordinating and tracking project activities, helping to ensure that all deliverables are met on time.Prepare materials for meetings, presentations, and reports, ensuring they are organized and accurate.Help manage the communication between various departments within the seafood project to ensure alignment and smooth execution. 6.     Compliance and Regulatory Support: Support compliance efforts by tracking and filing necessary documents related to seafood industry regulations, such as health and safety, environmental, and quality standards.Assist in the preparation for audits or inspections, ensuring that all necessary documentation is in place.Help maintain updated records of certifications, permits, and other regulatory documents relevant to the project. 7.     Health, Safety, and Environmental Support: Ensure that administrative procedures are in place to comply with health, safety, and environmental regulations relevant to the seafood industry.Support the team in maintaining a safe work environment by assisting with health and safety protocols and ensuring documentation is up to date. Skills and Qualifications: Experience: At least 2-3 years of experience in an administrative or office management role, ideally in the food industry or a project-based environment.Organization: Strong organizational skills to manage multiple tasks, deadlines, and competing priorities.Attention to Detail: High attention to detail to ensure accuracy in record-keeping, data entry, and document management.
