Job Description

ResponsibilitiesEnsures the Discretionary Authority Limits (DAL), policies and procedures are complied by all divisional / departmental heads under their purview i.e. review and proof read of documents, correspondence, reports, and/or presentations before obtaining management’s approval/signature.Makes travel arrangements i.e. hotel accommodation, visa application, flight bookings, restaurant reservations, etc.Arranges meetings i.e. booking of meeting rooms, prepare notice of meeting/calendar, follow up reminders etc.Handles confidential information/materials.Receives and screens incoming calls.Gathers & compiles data i.e. conduct online research to find needed information as and when required.Photocopy/scan documents.Draft letters/memos/power point presentations/proposals as and when required.Maintains the general filing system and manages & organizes department documentations.Maintains adequate office supply/equipment i.e. stationery, corporate items.Acts as fixed asset officer for the officeDistributes incoming and outgoing mails effectively.Prepares monthly claims as and when required.Follow up with accounts and finance department related matters.Provide administrative support, assist in events planning, including but not limited to exhibitions, expos, conferences etc.Act as a liaison officer with internal and external stakeholders i.e. other departments within the PB Group, local authorities/agencies on compliance or regulatory issues etc.Other duties as assignedAct as a point of contact between the Company and the Central Human Resource DivisionUnderstands and ensure the application of Malaysia Labor LawsManaged full spectrum of recruitment functions which include drafting job description of potential candidates according to business requirements i.e. prepare Staff Requisition FormPrepares organization structure for the CompanyEnsure all claims by the employees are vetted and submitted correctly according to the Human Resources RequirementEnsure all employees complied with the HR policies and procedures.Engaging with employees on a regular basis to understand the motivation levels of people in the organizationRequirementFresh graduate is encouraged to apply or those with two (2) years of relevant experience is preferred.Diploma or Bachelor's degree in Business Administration/Management or equivalent.Possess proficient knowledge in the Office Management/Administration & Knowledgeable and proficient in information technology.Fluent in English, Mandarin & Bahasa Malaysia.Interested candidates please submit your application through Jobstore
