The Role: Your Impact In this newly created role as an Administration Assistant, you'll be a key support of our Financial Manager and the operational glue that keeps our office running smoothly. You will be impeccably organised, accountable, and able to manage competing priorities and deadlines across several entities and projects. Your key responsibilities will include: Document Control: Assisting with cloud storage management, data integrity, preparation, filing, and distribution of important construction documents, including contracts, insurance documents, credit applications and invoices. Communication: Answering and directing phone calls professionally, managing company correspondence (emails, letters), and liaising with suppliers, operations teams, subcontractors, and clients. Financial Support: Assisting the accounts department with basic tasks such as processing invoices, tracking expenses and supporting payroll functions Operations: Track and follow up on outstanding tasks, approvals, and deadlines. HR Support: Maintaining employee records, drafting employment contracts, contractor compliance, and assisting with onboarding new staff. What You'll Bring Experience: Proven experience (2+ years preferred) in an administrative or office support role. Experience within the construction or trades industry is highly desirable. Skills: Proficiency with cloud-based Microsoft Office Suite (Word, Excel, Outlook) is essential. Familiarity with construction-specific software or accounting programs (e.g. Xero, Lentune, Microkeeper, EftSure) is a bonus.Organisation: Exceptional organisational and time-management skills with a strong attention to detail and aptitude of complex record keeping across different entities/projects. Attitude: A proactive, "can-do" attitude, solutions focused approach to challenges and the ability to work independently, manage multiple priorities, and meet deadlines. Communication: Excellent verbal and written communication skills. What We Offer Competitive Salary: Commensurate with experience. Stable Hours: This role is available NOW! Full-time, Monday to Friday position. We are also open to Part-Time for the right candidate.
