The An Saol Foundation, a Section 39 registered charity, is seeking a dedicated Administrative Assistant to support our pioneering neurological rehabilitation and habilitation centre. We put our clients and their families at the centre of our efforts.Your RoleAs an Administrative Assistant, you will:Provide administrative support to ensure efficient operation of the office, including maintenance and compliance with a Governance calendarBe the point of contact for all external communicationEnsure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniquesMaintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for suppliesSupport service delivery, including maintenance of client schedules, incident reporting, performance and delivery reporting, assessment schedules, use of Clinico platformProvide support for good governance, including regular policy and governance reviewUpload all invoices and receipts, use of BrightBooks platformCommunicate information to clientsProvide HR support to the CEO, including onboarding of all interns and staff, annual leave requests, use of HRDuo platformMaintain Garda Vetting recordsOrganise and maintain SharePoint, including document management and client & staff recordsUpdate all client informationTake minutes and prepare events and meetingsUpdate social media platformsAssist the CEO with all project developmentSupport the development of the An Saol Foundation and the promotion of its mission, vision, goals & objective, and valuesOther tasks as directed by the CEONote: This job description is open to changes. Bachelor’s degree or equivalent in a relevant field (desirable).Experience: Experience in office management, programme development, and supportSkills: Patience, enthusiasm, and the ability to talk to people with complex needs. Ability to meet deadlines.Experience with the Microsoft Suite (Outlook, Word, Sharepoint, etc). Good IT skills Proven organisational skills.
