ADMINISTRATIVE ASSISTANT   Our client is a global Renewable Energy leader, manufacturer of oil and lubricants for the automotive and industrial applications industries.   A rare opportunity has arisen for an ADMINISTRATIVE PRODUCT ASSISTANT to join the team based at their Perth Kwinana office – to provide critical support across multiple roles within our terminal operations team. This role will focus on data gathering, report generation, documentation, and basic technical analysis to enable efficient and compliant terminal operations. The successful candidate will be trained in key tools, including Emerson Scheduling and other internal systems, and will play a vital role in supporting quality, planning, and movement coordination functions. Successful candidate will have a can-do attitude, engage with cross-functional stakeholders such as Midstream Supply Optimisation, Operations, and Quality Assurance teams, contributing to the broader coordination of product movements, inventory management, and compliance activities. DAILY DUTIES:Play a key role in enabling operational excellence across terminal functions by delivering accurate, timely, and actionable data and reportssupport the achievement of key performance targets, reduced waivers, and minimized product giveaway and stock lossesdeliver high-quality reporting and analysis that supports quality assurance, product movement planning, and inventory reconciliationReconcile daily and weekly stock movement, slops and loss/gain reports, and performance dashboards that track key indicators such as additive usage, pipeline utilization, and terminal stock levelsProvide accurate data inputs and supporting the development of shipping and pipeline scheduleslearn and apply tools such as Emerson Scheduling, combined with your technical aptitude and strong Excel skills, will be critical in delivering value to the team and ensuring smooth, efficient terminal operations.ESSENTIAL EXPERIENCE:   To succeed in this role, you will need demonstrated experience in:Solid Excel Experience - pivot tables, data validation, and formula creation, is essential for managing and analysing large datasets effectivelyData management, reporting, and operational support within a technical, industrial, or supply chain environmentAbility to generate accurate and timely reports, interpret operational data, and present insights that support decision-making and continuous improvement.Experience in maintaining inventory records, tracking product movements, and supporting quality assurance or logistics processes will be highly advantageous.Success in this role also requires excellent attention to detail, strong organizational skills, and the ability to manage multiple priorities in a dynamic environment.Effective communication and collaboration skills are critical, as you will be working closely with various stakeholders across planning, operations, and quality teams.A technical aptitude and a willingness to learn new systems—such as Emerson Scheduling and other internal planning tools—are important, as is the ability to quickly adapt to new processes and technologies.Interpersonal Skills:Builds and maintains effective stakeholder relationships, supporting change adoption and fostering collaborationGains exposure to supplier interactions and external representation, developing negotiation and communication skillsApplies strong communication and storytelling abilities to support change initiatives and stakeholder engagementDemonstrates resilience in navigating organisational complexity and supporting transformation initiativesRequired on the job experience:3+ years relevant professional experience in Administrative Assistant ExperienceAdvanced report writing experienceSolid Excel Experience - pivot tables, data validation, and formula creation, is essential for managing and analysing large datasets effectivelySupply chain to customers (Desirable)Strong communication / stakeholder experiencePower BI exp (Desirable)What We Offer in Return:Immediate start2 - month contract position that supports Global organization with Australian presence – possible extensionExcellent working conditionsWork with a high performing team supported across AustraliaPerth Kwinana basedHybrid working conditions 60/40 – when working from officePromoter of work life balanceRewarding contract hourly rateOur client is an Equal Employment Opportunity employer, proudly recruiting and hiring diverse workforce and committed to creating an inclusive environment for all employees.To Apply: The ideal candidates will be from a similar industry and may have worked as a ADMINISTRATIVE ASSISTANT or similar in their career.
