About the RoleAs an Administrative Assistant at CME Associates, you'll serve as the operational backbone for our engineering teams, ensuring seamless coordination and efficient office operations. You'll be the go-to resource for project coordination, client communications, and administrative support that enables our engineers to focus on delivering exceptional results.This hybrid role offers the perfect balance of in-office collaboration and remote flexibility, allowing you to connect with team members while maintaining productivity from your preferred work environment. You'll join a supportive administrative team while working closely with engineering professionals across multiple disciplines.We're looking for someone who sees administrative work not as tasks to complete, but as opportunities to enable excellence—someone who understands that smooth operations are the foundation of successful engineering projects.Key ResponsibilitiesManage complex calendars, schedule meetings, and coordinate appointments for engineering project teamsPrepare, edit, and format technical documents, reports, and presentations with precision and attention to detailCoordinate project documentation including contracts, proposals, and compliance materialsServe as primary point of contact for client communications, providing professional and responsive serviceOrganize and maintain both digital and physical filing systems for projects and administrative recordsAssist with preparation for client meetings, including material preparation and logistics coordinationProcess expense reports, timesheets, and other administrative documents accurately and efficientlyCoordinate travel arrangements for team members attending project sites or client meetingsManage office supplies inventory and place orders as needed to maintain operational efficiencySupport the planning and execution of company events, meetings, and training sessionsAssist with onboarding new team members and providing administrative orientationHandle confidential information with discretion and professionalismRequired QualificationsEducation & ExperienceAssociate's degree in Business Administration, Office Management, or related field (Bachelor's preferred)2+ years of experience in an administrative support role, preferably in a professional services environmentProven track record of managing multiple priorities in a fast-paced settingTechnical SkillsAdvanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Experience with document management systems and cloud-based collaboration toolsStrong technical aptitude with ability to quickly learn new software and systemsExcellent typing speed (60+ WPM) with high accuracyProfessional CompetenciesExceptional organizational skills with meticulous attention to detailSuperior written and verbal communication abilitiesStrong problem-solving skills and resourcefulnessAbility to maintain confidentiality and handle sensitive information appropriatelyProfessional demeanor with excellent customer service orientationAbility to work independently and as part of a collaborative teamPreferred QualificationsExperience in engineering, architecture, or professional services environmentFamiliarity with project management software (e.g., Asana, Trello, MS Project)Knowledge of basic accounting principles or experience with expense reporting systemsExperience coordinating meetings and events for technical professionalsCertificate in Office Administration or related professional development
