This position would support the corporate services of Mission, Spirituality, Indigenous Care, and Volunteer Services, and Ethics and Diversity programming. The Administrative Assistant oversees the logistics of the directors’ work, collaborates with portfolio members on projects, and assists in the resolution of day-to-day administrative and operational problem solving and issue resolution on behalf of the Directors. The Administrative Assistant position reports to the Corporate Directors, Ethics and Diversity, and Mission, Spirituality and Volunteerism. Working closely with the Directors, this position helps to develop processes and resources to promote the work of Mission, Ethics, Spirituality, Volunteerism, and Indigenous Care (MESVI). Covenant Health is also a recipient of two prestigious awards: Alberta’s Top 80 Employer award, and one of the World’s Most Ethical Companies.Description: The Administrative Assistant position will hold signing authority at the Administrative Support level and perform duties such as Preparing accounts receivable and payable invoices and claims; Responding to inquiries about various programs/services, assessing the nature of the request and provides guidance for appropriate services with both external and internal stakeholders; Liaising with and periodically providing relief for the Executive Assistant. This position will Monitor contracts renewals for Interpretive Services; Liaise with staff from all COV sites, AHS, contract service providers, academic institutions, faith communities; and appropriate stakeholders on shared projects, providing the appropriate resources/services from Mission & Spirituality; Coordinate with MESVI members and other internal departments to ensure compliance with Stewardship Accountabilities and fulfilment of strategic initiatives. The incumbent will be responsible for Developing, updating, and maintaining Compassionnet and Covenant Health web page for items related to Mission, Ethics, and Spirituality (MES) data; Monitoring and corresponding with contacts through portfolio inboxes (Diversity, Interpretive Services, etc); Providing a full range of event planning services for portfolio- related events, including vendor management, materials sourcing and preparation within an approved budget, processing registrations, contacting speakers/attendees; Completing and tracking payroll timekeeping for the Directors’ portfolios, amongst other duties within the scope of this role. The ideal candidate is great at leveraging their administrative, financial acumen, stakeholder engagement, organizational, time management & communication skills to deliver quality work that moves the team and Office forward. Occasional travel and weekend hours may be required. Excellent interpersonal and verbal/written communication skills. Strong knowledge of office administrative practices. Ability to work with Content Management Development (CMS) web-based platforms. Ability to work under pressure and adhere to short timelines in completing projects.Preferred Qualifications: Senior administrative experience preferred. Experience in a similar position in a health or university setting.
