As we grow, we’re looking for someone who is just as passionate and detail-oriented to help support our mission.Position Overview:We're hiring a hybrid Administrative Assistant based in Phoenix, Arizona. This person will play a vital role in supporting our sales team, backing up our credentialing and back office teams, and handling a wide variety of daily administrative tasks. This is not a fully remote role, the right candidate must be based in the Phoenix area and available to work on-site at least 3 days per week.We're looking for someone who is highly organized, tech-savvy, personable, and comfortable working in a fast-paced, team-oriented, sales environment. Flexibility and the ability to roll with the punches is key, we’re a growing company, and being adaptable as priorities shift is part of the job.Key Responsibilities:Support the sales staff with administrative tasks, such as scheduling, documentation, and internal coordinationManage and update external job board postings (e.g., Indeed, DocCafe)Assist with creating and scheduling LinkedIn posts and website job listingsHandle state compliance filings and assist with licensing documentationServe as a backup for the credentialing and back office teams as neededMaintain organized records of contracts, provider documents, and company filesTrack and order office supplies; assist with office coordination tasksPrepare reports, data entry, and assist with special projects as assignedCommunicate effectively with internal teams and external contactsIdeal Candidate: ✅ Must live in the Phoenix area/be able to commute to the office weekly/as scheduled ✅ Minimum of 1-2 years of administrative experience in a fast-paced professional setting (bonus if it’s in staffing, healthcare, or sales support) ✅ Strong communication skills, professional, personable, and responsive ✅ Exceptionally organized, with strong attention to detail ✅ Self-starter with excellent time management skills and follow-through ✅ Proficient in Microsoft Office and comfortable navigating tech platforms ✅ Comfortable handling confidential information with professionalism ✅ Must be flexible, solution-oriented, and able to pivot quickly as priorities evolveNice to Have:Experience with CRM systems or ATS platforms (e.g., Zoho, Salesforce)Familiarity with compliance or credentialing processes in healthcareBasic content management experience (posting to LinkedIn, updating a website, etc.)Why DocStar?
