This position is responsible for coordinating communications, managing documentation, preparing reports, and supporting departmental operations and governance activities, including producing accurate and timely Board and Committee meeting minutes.This role requires exceptional attention to detail, discretion with sensitive information, and the ability to handle multiple priorities in a fast-paced, confidential environment.Job Duties / ResponsibilitiesAdministrative & Operations SupportServe as the primary administrative contact for the Director of Community Banking, managing calendars, travel, correspondence, and scheduling. Prepare, proofread, and distribute department reports, memos, and communications. Track deliverables, deadlines, and recurring tasks to ensure timely follow-up.Maintain organized digital and physical filing systems in compliance with company and regulatory requirements.Process expense reports, purchase requests, and invoices related to Community Banking activities.Research, organize, and manage confidential data and information.Prepare presentations, reports, agendas, and other documents in Word, Excel, and PowerPoint to support company objectives.Manage sensitive matters with professionalism, confidentiality, and discretion.Foster and maintain effective relationships with senior leadership to meet expectations and business objectives. Maintain a secure and organized work area that ensures the confidentiality of all customer records and transactions.Ensure compliance with Bank Secrecy Act (BSA) and Anti-Money Laundering (AML) policies and procedures.Represent Community Bankshares Inc. and its subsidiaries at community events, as appropriate.Perform other duties as assigned.Board & Committee SupportPrepare agendas, materials, and supporting documentation for Board and Committee meetings related to Community Bankshares, Inc.Attend meetings as directed and produce official meeting minutes, capturing key discussions, motions, votes, and decisions.Distribute draft and final minutes for review and approval within established timelines.Maintain version control and ensure secure archival of all governance documents in accordance with policy.Coordinate with the SVP of Operational Support and Corporate Secretary to align on Board reporting requirements.Branch & Community Engagement SupportSupport communication flow between the Director and branch leadership teams.Assist in tracking branch operational initiatives, compliance requirements, and performance metrics.Provide logistical and administrative support for community outreach, sponsorships, and volunteer activities.Maintain a calendar of events and prepare post-event summaries or reports.Project Coordination & ReportingSupport special projects, process improvements, and system implementations led by Community Banking leadership.Collect, track, and compile data for dashboards, scorecards, and presentations.Coordinate meeting logistics for internal leadership calls and cross-functional initiatives.Required Skills / AbilitiesExceptional attention to detail and organizational skills. Strong written communication and editing skills. Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). Ability to handle confidential information with discretion and professionalism. Proven ability to manage multiple priorities, deadlines, and stakeholders effectively. Familiarity with governance processes or regulatory environments a plus.Performance ExpectationsProduces accurate, clear, and timely minutes and documentation.Maintains confidentiality and professionalism at all times.Demonstrates initiative, follow-through, and accountability.Upholds strong communication and collaboration across teams.Education And ExperienceAssociate’s degree required; advanced education or certifications preferred.Minimum 3 years of administrative support experience, preferably within banking or financial services.Demonstrated ability to manage confidential and sensitive information with discretion and professionalism.Proven experience in drafting and producing official meeting minutes for leadership or board-level meetings strongly preferred.Physical Demands And Work EnvironmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
