This role works closely with the Office Manager in managing day-to-day office operations, coordinating with vendors, handling employee requests, maintaining office supplies, and organizing company events or activities.The ideal candidate is organized, resourceful, and thrives in a fast-paced environment while maintaining a high level of professionalism and service orientation.Work SetupIndependent contractor roleFully remote – work from anywhereOperates on U.S. time zone (night shift in PH time)No statutory benefits provided as per contractor agreement (e.g., social security)Weekly pay cycleCompensation and BenefitsPaid Time Off (PTO)U.S. & selected local holidays observedHigh-energy, fun, and collaborative cultureOpportunity for career growth and advancement with a rapidly expanding companyJob Responsibilities:Office Operations & AdministrationSupport the Office Manager in maintaining office operations, including inventory management, supply ordering, and delivery tracking (e.g., snacks, electronics for new hires, and other essentials)Ensure that office spaces are well-maintained, organized, and conducive to productivityHandle administrative tasks such as filing, documentation, and monitoring office requestsVendor & Facility CoordinationAssist in managing vendor relationships for services such as cleaning, maintenance, pest control, catering, and other office needsTrack vendor performance and coordinate service schedules as neededEnsure timely payment requests and invoice documentation for vendorsEvent & Employee SupportAssist in planning and organizing office events, team gatherings, and company activitiesHelp coordinate logistics for meetings, workshops, and internal eventsSupport employee inquiries and requests related to office facilities and suppliesOperational AssistanceWork closely with the Office Manager on administrative projects, audits, and process improvement initiativesProvide day-to-day operational assistance to ensure seamless execution of office and facility functionsPerform other duties as may be assigned to support overall office operations.Required Skills & Qualifications:Bachelor’s degree in Business Administration, Office Management, or related field (or equivalent experience)Minimum of 1–2 years of experience in office or administrative support roles (experience in a fast-paced or multinational setup preferred).Proficient in Google Workspace (Docs, Sheets, Forms, Calendar) or Microsoft Office SuiteFamiliarity with vendor management and inventory systems is a plusStrong documentation, organization, and coordination skills.High attention to detail and strong multitasking abilityExcellent communication and interpersonal skillsStrong sense of ownership, reliability, and initiativeAbility to work independently and manage competing priorities efficientlyPositive attitude and commitment to maintaining a productive, collaborative environment
