Administrative AssistantRecruitment Period: Submit resume by November 26, 2025Number of Positions: 1 (One) FLSA Status: EXEMPTHiring Salary: $45K - $65K Position Location: Savannah, GeorgiaJob SummaryThe Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. This position is in the Savannah area, it is in-person in an office, with occasional telework.Job Responsibilities and Performance Standards: § Answers and transfers phone calls, screening when necessary. § Welcome and directs visitors and clients. § Maintains filing systems as assigned. § Logs incoming complaints to XL spreadsheet § Create + maintain physical files § Create + maintain digital files to include a PAQC Contact Memo for each case § Send Receipt of Complaint email to complainant + document communication § Review Director correspondence § Disseminate Director correspondence appropriately by mail and/ or email § Document all actions taken pertaining to case files § Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed. § Responds to and resolves administrative inquiries and questions. § Coordinates and schedules travel, meetings, and appointments for managers or supervisors. § Prepare agendas and schedules for meetings. § Records and distributes of minutes or other records for meetings. § Receives and verify expense reports; reconcile expense and other financial reports with account balances and other office records. § Facilitate payment of vendors, which may include verification of federal ID numbers, review purchase orders, and resolve discrepancies. § Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed. § Assists with accounting records and ledgers by reconciling monthly statements and transactions. § Records entry of, verifies documentation for, and distributes petty cash. § Calculates and reports sales tax based on paid invoices. § Other related duties as assigned. § Maintains office supplies and coordinates maintenance of office equipment. § Maintains a system for recording expenses and the use of petty cash. § Performs other related duties as assigned. Technical Competencies:§ Excellent verbal and written communication skills. § Excellent interpersonal and customer service skills.§ Proficient in Microsoft Office Suite or related software.§ Excellent organizational skills and attention to detail.§ Basic understanding of clerical procedures and systems such as recordkeeping and filing.§ Ability to work independently.§ Understanding of confidentiality requirements in a government setting§ Ability to handle sensitive information that may include politically sensitive matters§ Ability to prioritize multiple tasks and meet deadlines§ Ability to maintain composure and professionalism under pressure§ Skilled in document preparation, proofreading, and formatting§ Ability to accurately enter data and manage recordsMinimum Qualifications:§ Associate’s degree required. § Three to five years of experience in an administrative role.
