We will inspire hope and contribute to the health and well-being of communities we serve through our shared values and the continuous pursuit of improvement.Role Summary: The Administrative Assistant at Keystone Retreat plays a vital role in supporting the daily operations of the facility. This position provides essential administrative support to ensure the smooth functioning of the facility and assists both clients and team members in various administrative tasks.Responsibilities Oversee front desk operations, including greeting visitors, answering phone calls, and handling all client or team member inquires. Manage calendars and schedules for program directors. Assist with billing procedures by managing invoices and processing payments. Maintain, order, and replenish office and facility inventory as needed, keeping costs within budget. Act as liaison between clients, family members, and team members, conveying information promptly with care. Prepare correspondence, reports, and presentations for internal purposes, ensuring high quality and timely completion. Provide support for internal events including setup, scheduling, and material preparation. Respect and maintain the confidentiality of all client information in accordance with facility policy and HIPAA regulations. Attend and participate in team meetings and monthly trainings. Other duties as assigned by Director of Operations to support overall facility operations.Preferred Qualifications Prior experience in administrative role, preferably in a healthcare or residential setting. Strong computer proficiency, including Microsoft Office (Word, Excel, PowerPoint) and experience with database management. Excellent communication, organization, and interpersonal skills, with the ability to collaborate across departments and build rapport with both team members and clients. Ability to manage time effectively, prioritize tasks, and stay organized in fast-paced environment. Ability to maintain professional boundaries, ensuring appropriate, respectful interactions with clients. General understanding of the use and misuse of chemicals and alcohol. Possess knowledge of HIPAA.
