Company DescriptionThe Sinai UHN Medical Organization (SUMO) is seeking a full-time Administrative Coordinator for an immediate start date.SUMO administers the Academic Health Science Centre (AHSC) Alternative Funding Plan (AFP) Agreement, ensuring the accurate, timely and transparent distribution of funding for academic physicians at Sinai Health and UHN. Additionally, SUMO funds over $3M annually in research projects that develop novel, high-impact approaches to healthcare delivery in Ontario.Job DescriptionUnion: Non-UnionSite: Sinai UHN Medical Organization (SUMO)Reporting Manager Job Title: AFP Manager, SUMOHours: 37.5 Hours per WeekShifts: Monday to FridayStatus: Temporary Full-Time (1 Year Contract)Closing Date: December 4, 2025Position OverviewThe Administrative Assistant will provide comprehensive administrative and operational support to the Chair, Vice-Chair, AFP Director, AFP Manager, and sub-committees within SUMO. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining professionalism and discretion.The administrative coordinator role will be primarily done from home, however, the successful applicant must be able to work onsite occasionally, when required.Key ResponsibilitiesManage calendars, schedule meetings, and coordinate appointments.Prepare correspondence, reports, presentations, and other documents including minutes and agendas.Assist with processing of invoices and administration of financial processes.Support the Innovation Fund by coordinating grant submissions, distributing materials, and managing project reporting.Handle emails, and inquiries promptly and professionally.Organize and maintain electronic filing systems.Provide general administrative support to leadership and team members.QualificationsProven experience in an administrative role.Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).Excellent organizational and multitasking abilities.Strong written and verbal communication skills.High level of discretion and professionalism when handling confidential information.Ability to work independently and collaboratively in a fast-paced environment.Preferred SkillsFamiliarity with financial administration processes (invoicing, reporting, documentation).Experience with project coordination and cross-team support.Comfort with digital tools such as Zoom, Teams, or project management software.Additional InformationWhat We OfferA supportive and collaborative team environment.Opportunities for professional growth and development.Competitive salary ($55,000 - $65,000/year) and benefits.Remote work model.All applications must be submitted before the posting close date.UHN uses email to communicate with selected candidates.
