You will oversee a team of Administration Officers across HR administration, family support, rostering, recruitment, onboarding, service coordination, account management, and internal communications. By working closely with leaders across the organisation, you will ensure administrative functions are integrated, timely, and responsive to the needs of staff, families, and services.Your Key Responsibilities Will IncludeHR Administration: Ensure all recruitment and onboarding documentation, compliance checks, and employee records are completed accurately and on time. Support probation reviews and maintain mandatory compliance registers.Team Leadership and Coordination: Lead, mentor, and coordinate the Administration Team to deliver consistent, high-quality support. Establish clear work plans, priorities, and accountability processes. Conduct regular performance check-ins and professional development discussions.Operational Support Systems: Maintain efficient administrative workflows and systems to support day-to-day operations. Implement continuous improvements and ensure timely and accurate communication between Administration and Operations teams.Rostering and Workforce Coordination: Oversee service rosters, staffing allocations, and compliance with workforce ratios. Minimise unplanned shift gaps and ensure operational coverage.Family and Service Support: Respond to family and community enquiries promptly, support enrolment, billing, and account management processes, and contribute to maintaining high family satisfaction ratings.Communication and Reporting: Provide clear internal communications, reporting, and insights to support decision-making within Operations and Leadership Teams.Continuous Improvement: Identify opportunities to improve administrative efficiency, implement new systems or processes, and support change management across operations and HR administration.What We’re Looking ForProven ability to lead and develop teams, coordinate workflows across multiple operational areas, and build collaborative relationships.Experience developing and improving administrative systems to enhance efficiency and accountability.Strong understanding of HR and employment compliance requirements, including Working with Children Checks, qualifications, and policy adherence.High-level organisational, communication, and problem-solving skills, with the ability to manage competing priorities.Attention to detail, accuracy, and confidentiality.Proficiency in Microsoft 365 suite; experience with HR systems such as Employment Hero or Xap is highly desirable.Experience in the education, childcare, or community services sector is highly desirable.Inclusion & Safeguarding CommitmentAt Jabiru, everyone is welcome.
