Job Description

The Administrative Office Specialist is responsible for performing a variety of administrative and clerical duties within the division.Answers the telephone and assists in processing requests from the community and different members of the Sheriff’s Office.Reviews and responds to emails. Assists families with information pertaining to inmates.Maintains appointment schedules for departmental personnel, as appropriate.Processes or assists in processing departmental biweekly payroll and maintaining related records.Maintains monthly Corrections, Booking and Detention personnel rosters and in-house transfers. Completes all required reports and billings related to the housing of inmates at this facility. Establishes and maintains filing systems.Sorts and distributes mail and interdepartmental correspondence.Screens and refers callers and takes telephone messages for department personnel.Prepares correspondence in accordance with established policies and procedures.Types a variety of materials including administrative and public reports for reproduction and distribution.Prepares worksheets and conducts research for special projects as required.Performs various mathematical computations.Makes arrangements for personnel to attend meetings and conferences, as appropriate.Assists in the preparation of the annual budget of the department.Monitors expenditures and budgetary issues throughout the year. Orders administrative, inmate, cleaning, and kitchen supplies.The Administrative Office Specialist should possess, at a minimum, a high school diploma or equivalent; five (5) years’ experience working in an office environment; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position. Experience in a Correctional Facility environment is preferred.Necessary Special RequirementsMust meet the skill level, MODERATE, as evaluated by the Macon-Bibb County administrative test. Knowledge of personal computers and basic office programs such as Outlook, Excel and Word.Ability to make priority decisions in accordance with established rules, regulations and departmental policies.
