Job Description

Key Responsibilities: Oversee daily administrative operations, including security, cleaning, buffet services, pest control, and landscaping. Manage all government-related processes such as operating licenses, utility services (electricity, water, telephones), insurance office matters, industrial security, and advertising permits. Supervise all branch-related company vehicle operations, including employee transportation, chassis transfers, maintenance, traffic license renewals, and general licensing procedures. Administer staff attendance, leave requests, business trips, overtime, penalties, and permissions using the attendance system. Conduct internal administrative investigations in compliance with labor law regulations and report findings to management.

Oversee contract renewals for vendors, service providers, and leased premises, ensuring optimal pricing and service quality. Manage and monitor periodic maintenance work, including building maintenance, air conditioning, occupational safety, industrial security, and staff training for civil protection and workplace safety. Coordinate with medical entities, including company doctors, hospitals, pharmacies, and laboratories, to ensure seamless healthcare services for employees. Organize semi-annual random drug testing for drivers to ensure compliance with safety regulations. Process and submit all invoices and contracts on the SAP system, including purchase requisitions (P. R. ), purchase orders (P. O. ), entry sheets, and material goods receipt (MIGO).

Required Qualifications & Competencies: Education & Experience: Bachelor's degree in Business Administration, Management, or a related field. Minimum of 5 years of experience in administration, facility management, or a similar role. Strong knowledge of governmental regulations, licensing procedures, and labor law compliance. Experience working with SAP or other enterprise resource planning (ERP) systems is preferred. Skills & Competencies: Strong leadership and team management skills. Excellent problem-solving and decision-making abilities. Strong negotiation skills to manage vendor contracts and service agreements. Ability to effectively coordinate with multiple departments and external entities. High attention to detail with strong organizational and time management skills.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Strong communication and interpersonal skills, with the ability to handle sensitive situations professionally. Reporting Line: Reports to: Senior Procurement & Administration Manager
