📍 The Hague, On sitePosition SummarWe are seeking a highly organized and motivated Administrative & Workforce Support Officer to join our Business and Workforce Administration team. You will play a key role in supporting the daily operations of a dynamic Digital Workplace Centre, contributing to workforce planning, resourcing coordination, and a variety of administrative and reporting activities.This position requires a proactive mindset, attention to detail, and strong interpersonal skills to liaise with internal teams and external stakeholders. You will help ensure the smooth operation of workforce-related processes and provide timely support to managers and teams.Key ResponsibilitiesWorkforce & Resourcing SupportAssist in workforce-related tasks and processes as required by the team.Support managers in temporary resourcing and recruitment coordination.Liaise with internal departments and external stakeholders for onboarding and offboarding of temporary staff.Act as the focal point for temporary staffing needs.Maintain an overview of all ongoing and upcoming contract activities.Use planning and scheduling tools to track workforce activities.Support contract-related processes including receipting and documentation.Reporting & Budget MonitoringGenerate and maintain Excel-based reports from Enterprise Business Applications (EBA).Contribute to the maintenance of resourcing dashboards.Perform regular checks to ensure financial compliance with allocated budgets.Administrative DutiesProcess purchase requests and manage purchase orders.Assist in preparing and formatting reports, presentations, and internal documents.Maintain organized physical and electronic records and databases.Required Qualifications & ExperienceBachelor’s degree in Human Resources, Business Administration, or a related discipline and at least 2 years of relevant experience.or, a minimum of 5 years of progressive administrative experience in relevant roles.Strong verbal and written communication skills in English.Demonstrated ability to work independently in a fast-paced environment.Strong organizational, time management, and problem-solving skills.Proficiency in MS Office Suite, especially Excel and SharePoint.Customer-focused with a proactive approach to communication and service delivery.NATO Secret Security Clearance is a plus.Desirable Skills & ExperienceExperience with enterprise systems such as Oracle or similar procurement tools.Familiarity with administrative environments involving both civilian and military elements.Previous experience in international or governmental organizations is a plus.Knowledge of financial and acquisition processes in large organizations.Preferable practical experience/knowledge in working with NCI.Key CompetenciesIntegrity & Ethics: Upholds values and principles; promotes diversity and inclusion.Interpersonal Skills: Builds effective relationships across levels; communicates with warmth and professionalism.Initiative: Takes ownership of tasks and initiates improvements proactively.Adaptability: Thrives in change, handles ambiguity, and remains open to new ideas and challenges.BenefitsCompetitive renumeration packageA dynamic, fast-paced environment with continuous growth opportunitiesWork with cutting-edge technologiesFounded in 1997 in Brussels, UpcoMinds has grown into a trusted IT partner, specializing in Project Development, Consulting, Strategic Teaming, and R&D & Innovation.With offices in Belgium, Greece, and Cyprus, we empower organizations across Europe to deliver complex, high-impact technology initiatives that drive strategic, operational, and digital transformation.Our team of 200+ top-tier professionals brings deep expertise and agility to every engagement.
