This role ensures the integrity, accuracy, and confidentiality of student data and supports the seamless academic journey of learners from admission to graduation. The position also entails developing and implementing policies, systems, and procedures that ensure compliance with institutional and national standards, while maintaining high-quality services and operational efficiency.Key ResponsibilitiesStrategic and Operational ManagementLead and oversee all functions of the Admission and Registration Section, ensuring alignment with the organization’s mission, strategic objectives, and vocational quality assurance frameworks.Develop and continuously update policies, procedures, and workflows related to admission, registration, scheduling, academic records, and graduation in accordance with national and institutional standards.Supervise and train staff to ensure delivery of efficient service, data accuracy, and compliance with organizational policies and regulations.Admission and EnrollmentManage the student admission process, including application review, eligibility verification, interviews, and issuance of admission offers/letters.Maintain accurate and up-to-date records of applicant data, admission decisions, and enrollment statistics for reporting and planning purposes.Collaborate with marketing and academic departments to support recruitment and admission campaigns.Registration and Academic RecordsOversee all aspects of student registration, including course enrollment, withdrawal, and re-enrollment.Ensure the accuracy and integrity of student academic records and profiles throughout the student life cycle.Manage class scheduling, course timetables, and student attendance tracking systems in coordination with academic and training departments.Monitor attendance and absences, generate reports, and coordinate with academic advisors and faculty to ensure compliance with attendance and progression policies.Supervise the digital and physical archiving of student files, ensuring confidentiality, accessibility, and compliance with institutional and regulatory requirements.Student Progress and GraduationReview and audit student study plans, credit transfers, and progression to ensure compliance with graduation requirements and academic regulations.Oversee the verification of academic records and the preparation and issuance of graduation certificates, transcripts, and official documents for approved graduates.Coordinate with internal departments and external awarding bodies to validate and approve all graduation-related documentation.Maintain accurate graduation statistics and reports for internal and external stakeholders.Data Management and ReportingSupervise the maintenance and continuous updating of student databases, ensuring accuracy, security, and integrity of academic information.Generate analytical and statistical reports on admissions, registration trends, student progression, and graduation outcomes to support decision-making.Implement and monitor overall key performance of the department to measure departmental efficiency and service quality.Continuous Improvement and ComplianceStay updated with best practices, technological advancements, and regulatory changes in admissions and registration processes.Recommend and implement improvements to enhance operational efficiency, student experience, and data management systems.Ensure compliance with the organization’s internal quality assurance system and the standards set by national and educational vocational authorities such as the National Qualifications Center (NQC) and other awarding bodies.Qualifications and ExperienceBachelor’s degree in general education, Business Administration, or a related field (master’s preferred).6–8 years of relevant experience in admissions, registration, or academic administration, preferably in higher education or vocational institutions.Proven leadership experience in managing student services, academic records, and registration systems.Strong knowledge of educational policies, academic regulations, and student information systems (SIS).Excellent organizational, analytical, and communication skills with attention to detail and data accuracy.Fluency in both Arabic and English is required.
