You’ll manage communication, documentation, timelines, and milestones across Sales, Technical, Research, Marketing, and external partners.This is the perfect role for someone who thrives in a fast-paced, detail-driven environment.Core Responsibilities1. Project Administration (30%)Maintain project trackers, internal checklists, and client files.Create and organize digital project folders.Schedule internal and external calls; prepare agendas and summaries.Maintain ClickUp project records and internal forms.Manage version control for proposals, LOIs, and agreements. Documentation & Compliance (25%)Support preparation and review of engagement agreements.Manage document routing and signature collection (DocuSign).Assist with FAA registration and escrow processes.Track required documents and flag missing items. Coordination & Communication (25%)Serve as the point of contact between Sales, Technical, Research, and Marketing.Capture call notes and follow-ups in project systems.Monitor timelines and notify teams of upcoming deadlines.Communicate with clients and third-party vendors as needed. Data Management & Reporting (10%)Support creation of weekly project status updates.Track invoices and retainer payments; coordinate with G&A.
