OVERVIEWThe Experiential Production Coordinator plays a critical support role on the Experiential team, helping to bring luxury brand experiences to life through detailed coordination, logistical management, and day-to-day execution support. This role balances operational efficiency with a keen understanding of premium brand standards—supporting everything from travel booking and vendor onboarding to sample management and shipping logistics. Ideal candidates are highly organized, solutions-oriented, and thrive in fast-paced, collaborative environments. RESPONSIBILITIESEvent & Travel CoordinationManage domestic and international travel arrangements including flights, hotels, and ground transportation for Brand Activation team members and key talent.
Maintain up-to-date travel trackers and itineraries, ensuring accuracy and seamless communication. Support event execution by assisting with logistics, documents, shipping manifests, and real-time event needs. Vendor & Finance SupportFacilitate vendor onboarding and setup through Accounts Payable systems; ensure timely PO creation, invoicing, and payment processing. Track and reconcile event-related invoices and expenses across multiple projects. Maintain internal finance documentation and trackers for transparency and accuracy. Sampling & Inventory ManagementCoordinate product sampling through FDM4, ensuring accurate order entry, timing, and delivery for activations and events. Track inventory of event assets, materials, and product across storage locations.
Maintain detailed shipping manifests and manage inbound/outbound logistics. Creative & Administrative SupportAssist in the development of creative briefs, inspiration decks, and visual documents for internal and vendor use. Schedule meetings, take notes, and circulate action items and recaps across stakeholders. Support post-event documentation, pulling together key metrics, assisting with visual recaps, and learnings. QUALIFICATIONS1–3 years of experience in event coordination, marketing operations, or production support. Strong attention to detail, organizational skills, and ability to manage multiple workstreams simultaneously. Experience with AP systems and vendor onboarding processes (e. g. , SAP, Coupa, etc).
Familiarity with inventory management and shipping coordination; experience with FDM4 a plus. Clear communicator who is proactive, adaptable, and collaborative. Bonus: Experience working with luxury, fashion, or lifestyle brands in an agency or in-house setting. The base salary range for this position is $70,000 - 75,000 per year which represents the current range for the base salary for this exempt position. Please note that actual salaries will vary based on factors including but not limited to location, experience, and performance.
As such, on occasion and when applicable, there is the possibility that the final, agreed-upon base salary may be outside of the upper end of the range. Please also note the range listed is just one component of the company’s total rewards package for exempt employees.
