Job DescriptionPosition Overview: The HR Compliance Officer plays a critical role in supporting university operations by ensuring compliance with local labor law, immigration, and higher education regulations. This role works collaboratively with the HR Compliance Coordinator to facilitate and manage employee, students, and visitor visa processes, work permits, and related compliance activities. The role also provides administrative support for regulatory reporting, helping maintain a culture of integrity, transparency, and continuous improvement. Key Responsibilities: Visa & Work Permit ProcessingAssist with the preparation, submission, and follow-up of work permits, multiple-entry visas, and residency permits for employees, candidates, and eligible student cases.
Support family members and university guests with short-term visit visa facilitation as required. Process visa and work permit cancellations for employees upon separation from the university. Maintain accurate records of all visas, visa stickers, and permit applications, renewals, and cancellations. Coordinate with external agencies, ministries, and legal representatives to ensure timely completion of all processes. Updating visa information and work permits in the Oracle system. Candidate & Visitor SupportAssist in managing visa logistics for candidates invited to campus for interviews. Provide administrative guidance to ensure a seamless onboarding and offboarding experience related to legal documentation.
Booking travel tickets and hotels for expat employees currently in Iraq who need to exit and re-enter to activate their new visas. Drafting employment verification and employment certificate letters requested by AUIB staff. ReportingPrepare and submit reports to relevant ministries as needed, ensuring timely and accurate compliance filings. Maintain organized records for audits and internal reviews. Carry out other relevant tasks and duties as required. Conduct verification of academic credentials for all employeesQualifications & Skills: Bachelor’s degree in human resources, business administration, law, or a related field preferred. 3 years of experience in HR compliance, immigration support, or administrative services.
Proficient in both English and Arabic (written and spoken). Strong knowledge of Iraq labor and residency regulations is preferred. Excellent organizational, time management, and record-keeping skills. High attention to detail with a commitment to confidentiality and ethical practice. Strong interpersonal skills with the ability to work collaboratively in a diverse and dynamic university environment. Proficient in Microsoft Office Suite and document management systems. Work Environment: This role requires a proactive, solution-oriented mindset and the ability to handle sensitive information with discretion.
