Job Description

Summary of Responsibilities: This employee will fulfill receptionist duties; provide administrative support to the executive director; and, serve as relationship manager for the Agency. Duties and responsibilitiesGeneralGreets all guests, ensures they are comfortable while advising appropriate staff that guest is waitingAnswers incoming calls on the office main line.

Deal with inquires; re-directs calls as appropriate; and, initiate calls as neededAssists with report developmentMaintains chronological files of all incoming and outgoing mailManages agency filesParticipates in maintaining a binder of current administrative proceduresHelps to keep the office and waiting areas neat, and updates community informationSpecial projectsAdministrationManages grant application process, including client intake and determining eligibilityCreate customer and vendor filesAssist with monthly and annual reportsMaintain/monitor schedulesAssists with data entry and management of donor database, rent collections and agency communicationsUpdate and maintain AHDC Facebook Page and WebsiteManage Board documents and required updates AccountingRecord tenant payment transactions for deposits and disbursements for repairsTrack grant spending and prepare vouchers for reimbursementsManage Quick Book records for agency deposits and vendor paymentsWork closely with accountant to ensure accuracy of Quick Book entries and financial reports QualificationsAssociates Degree from Regionally Accredited Institution- Business Administration or combination of relevant educational and professional experience.

Five years preferred. Knowledge of MicroSoft Word, Quick Books, Excel and Outlook a mustCustomer friendlyStrong oral and written communications skillsTeam player with excellent interpersonal skillsDetail oriented Benefits: Paid Holidays,Annual leave & Sick Time Health: Medical, Dental & Vision
