We are a fast-growing real estate firm based in Boston, seeking a dependable and detail-oriented Office Administrator to support daily business operations. This is a key administrative role responsible for ensuring smooth communication and workflow across the office. The ideal candidate is professional, organized, and comfortable handling a variety of tasks in a fast-paced environment.Responsibilities:Answer and direct incoming phone calls with a friendly, professional demeanorMonitor and respond to company emails promptly and accuratelyOpen, sort, and distribute daily incoming mail and packagesPrepare outgoing mail and manage courier/shipping needsMaintain organized filing systems—both digital and physicalGreet and assist visitors, clients, and vendors entering the officeDraft, format, and send letters, emails, and documents as neededMaintain office supplies inventory and place orders when necessarySupport the team with scheduling meetings, showings, and appointmentsAssist with drafting lease agreements, notices, and basic real estate documentsHelp coordinate listings, signage, keys, and lockbox trackingPerform data entry and help maintain internal databases and CRM systemsProvide support with invoicing, bill tracking, and basic bookkeeping tasksEnsure the office is clean, organized, and presentable at all timesAct as a liaison between property managers, realtors, contractors, and clientsHandle confidential information with discretion and professionalismQualifications:1–3 years of office administration experience (real estate industry a plus)Excellent communication and interpersonal skillsStrong organizational and time-management abilitiesProficient in Microsoft Office and Google WorkspaceComfortable learning new software and managing digital toolsAble to work independently and prioritize multiple tasksDependable, punctual, and detail-orientedBenefits:Salary based on experience ($38,000 – $52,000)Opportunity to grow within a dynamic real estate teamCollaborative and supportive work environmentExposure to various aspects of real estate and property managementTo Apply:If you’re organized, motivated, and ready to be the backbone of our office, we’d love to hear from you.
