Enjoy flexible working arrangements and benefits that support your well-being, ensuring that you can thrive both personally and professionally....but that's enough about us, let talk about you!The primary role of the Associate Office Manager is to provide administrative and clerical support to the office and team to ensure the efficient operation of the office by supporting a variety of tasks.Proven administrative experience is essential as well as good time management skills and the ability to multi-task and prioritize work is needed to ensure the delivery of broader organisational objectives and goals.Responsabilities:General Office Admin including filing, scanning of documents, fixing appointments and collection of documents.Management of senior team member's calendars and scheduling meetings, travel (flights/hotels), expense claims etc.Client/Intermediary handling including handling phone call inquiries, attending to office visitors, serving drinks and clearing of meeting room after visitors leave.Management of marketing collateral inventory including factsheet and business card ordering and packing of collaterals.Assist in the preparation of regular scheduled team meeting.Manage office supplies, equipment, and inventory, and coordinate maintenance and repairs.Liaise with third party providers for general office upkeep (health and safety, fire safety, housekeeping etc).QualificationsStrong written and verbal communication skills in German and EnglishAbility to work both independently and within a team environmentProficient in Microsoft Word, Excel and PowerPointUndergraduate degree in business, economics, marketing or other related disciplines will be considered an advantage.Excellent time and task management skills and the ability to manage multiple conflicting priorities.Able to foresee problems and prevent them by taking action and to effectively interpret and anticipate the teams needs.Exceptional listening-, oral- and written skills.Interacts professionally with Clients and the team at all times and promptly responds to requests with accuracy and a courteous demeanor.Works as a competent member of the team, willingly providing back-up support for co-workers when appropriate.Proficient at using standard office equipment and software.Join our team and be part of an organization that values innovation, fosters collaboration, and believes in the potential of its employees.
