We are inviting applications for the position of HR Officer in our Human Resources Division. The successful candidate must meet the requirements as specified in the job specification. As the HR Officer, you will play a vital role in supporting the HR function by providing day-to-day administrative support across various HR activities. This role is key in promoting positive employee experience and efficient HR operations. Key ResponsibilitiesFull administrative support across all HR functions. Secretarial services to the GM: HR, including diary management. Assist with the onboarding and offboarding processes. Maintain and update employee records and personnel files.
Verify completeness of new starter documentation. Maintain HR records and databases, ensuring accuracy and confidentiality. Prepare HR-related documents such as employment contracts, offer letters, and internal communications. Act as a point of contact for employees regarding HR-related queries and concerns. Organize employee engagement activities and initiatives. Assist with ensuring compliance with relevant labor laws and regulations. Assist with recruitment processes (coordinate interview scheduling and candidate communication). Organize and coordinate logistics for HR events, training sessions, and meetings (scheduling meetings and maintaining calendars for HR management). Prepare UIF, medical aid, and pension fund documentation as and when required.
Assist with updating HR policies. Ensure that line management adheres to the performance management process. Submit, track, and maintain accurate records of invoices and payments in coordination with Finance. Supporting payroll processing. Perform general office administrative tasks, including filing, photocopying, answering phones, and managing correspondence. Minimum RequirementsGrade 12 and National Diploma in Human Resources Management. 3-5 years of experience in an administrative role, preferably in the HR environment. Knowledge of HR practices. Excellent written and verbal communication and interpersonal skills. Excellent organizational and time management skills. Strong attention to detail skills. Problem-solving skills.
Proficiency in HRIS system(s) and MS Office Suite (Word, Excel, PowerPoint). Knowledge of labor laws and HR best practices. Ability to maintain confidentiality and handle sensitive information with discretion. Ability to work independently and manage time effectively.
