Organize and maintain Outlook inbox and calendars. Coordinate meetings, rooms, and hotel reservations, catering events, new hires onboardings, interviews, etc. Creation, follow-up, and tracking of purchase.

Submit, reconcile, and track travel and project expenses. Maintain and manage contact lists, SharePoint, MS Teams, and other systems. Prepare and update regular reports, budgets, and other documentation. Prepare briefing materials, take minutes, and verify meeting participants. Arrange travel and provide support with business trips, transportation, and hotel booking. Support onboarding and Offboarding processes. Register Visitors to the buildings. Comply with process standards, policies, documentation procedures, and KPI targets. Prepare and maintain process and client documentation. Use of existing procedures to solve routine or standard problems. Solve, liaise with appropriate resources, follow up, and escalate identified issues.

Contribute to process improvements and report potential process exceptions. Support onboarding and training processes for new joiners. Support TL, and other team members in operational topics. Who You Are University degree in Administration, or similar career (Mandatory). Technical degree in Administration, Assistance or similar (Desirable). At least 2 years as an administrative assistant, business support and stake holder management (Mandatory). Advanced English proficiency (Mandatory). Knowledge in Microsoft 365 (Mandatory). Computer proficiency with Microsoft Office Suite and other IT-relevant systems. Verbal and written communication skills are required as the role requires interfacing with internal and external customers.

Ability to maintain the highest levels of confidentiality and integrity. Ability to work independently and be self-motivated. Strong organizational skills reflect the ability to prioritize multiple tasks to meet deadlines, ensuring attention to detail. High level of proactivity, dedication, accuracy, and excellent stakeholder management. High level of professionalism with a focus on teamwork and the ability to cultivate and maintain a positive working environment through feedback.
