Job Description

The Role: As the Branch Administrative Assistant, you will provide high-level administrative support to the State Manager (NSW & HK), Branch Manager (NSW & HK) and Assistant Branch Manager. This role requires an individual with strong interpersonal, time management and organisation skills.Working in a fast-paced environment, the role will require you to be able to successfully manage and prioritise a wide range of tasks, often simultaneously. You will be required to interact with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient. Strong decision-making ability and attention to detail are important.Reporting to the Branch Manager, Ord Minnett expects the Branch Administrative Assistant to uphold a strict level of confidentiality in their day-to-day dealings and possess a positive, professional, and willing attitude to all ad-hoc tasks, while also working closely and cohesively with the branch management team and wider office. Branch & Team SupportProvide administrative support to branch management, including diary management, travel, and confidential correspondence.Assist with adviser and assistant management across Sydney, Hong Kong, and Newcastle.Prepare expense claims and manage invoicing.Maintain attendance and leave records.Manage adviser code setup and branch-wide communications.Oversee staff onboarding and compliance tracking.Liaise with internal teams (IT, marketing, operations) to ensure smooth office operations.Event CoordinationCoordinate adviser and client events with Marketing & Events teams.Organise monthly morning teas, branch updates, and internal social events.Support advisers with internal client functions including catering and logistics.Office ManagementEnsure marketing materials are current and visible.Report and follow up on maintenance issues.Reception SupportAssist and liaise with the reception team for bookings and coverage.Provide backup reception support when needed.Required Experience/ knowledge: Minimum 2 years administration experience within a corporate and/or professional services environment.Compliance knowledge and Adviser Assistant experience - highly regarded but not requiredPreferred customer service experience - experience in a client facing role (hospitality, corporate concierge and hotel experience will be well regarded).Advanced Microsoft Office skills, with the ability to navigate firm-specific programs, software, and conferencing equipment.
