The primary responsibility of the accountant is to ensure the accurate and timely generation of customer invoices in alignment with the company’s rental agreements and billing policies. This role plays a critical part in managing revenue recognition, monitoring unbilled revenue, reconciling billing discrepancies, and supporting the accounts receivable process. The position also involves coordinating with operations and sales teams to validate billing inputs, addressing customer billing queries, and maintaining strong documentation for audit and compliance purposes. Roles and Responsibilities and Key AccountabilitiesLease Setup and Contract ManagementReview and verify signed lease contracts and supporting documents prior to rental activation.
Open lease rentals in the system to enable vehicle delivery by the operations team. Modify rental contracts in the system post-delivery to reflect actual delivery details. Perform closure of lease rentals in the system upon vehicle return by the customer. Update rentals for contract modifications such as lease extensions, rate revisions, driver detail changes, vehicle replacements, and LPO updates. Billing and InvoicingGenerate monthly invoices for lease rental, salik, traffic fine etc. based on each customer’s billing schedule. Calculate and raise invoices for excess mileage, pre-termination charges, and off-hire adjustments.
Process ad-hoc billing for services such as Salik, insurance, damage, fuel, branding, and other miscellaneous charges. Issue credit notes as and when required. Prepare invoices for intercompany charges, staff recoveries, traffic fines, and special customer cases not supported by automated billing workflows. Ensure alignment of such invoices with supporting documents and internal approvals. Reporting and ReconciliationPrepare the monthly billing report as required including thorough verification of each billing to ensure accurate and complete billing. Maintain proper documentation and audit trails for all billed transactions. Compliance and CoordinationEnsure all invoices are compliant with UAE VAT regulations.
Coordinate with sales, operations, and customer service teams to resolve billing disputes and validate contract changes. Support financial reporting and internal/external audits as required. Perform any other related tasks as required by supervisor. Key Accountabilities: Ensure timely and accurate billing records and reports. Record financial transactions in line with company policies and UAE regulations. Monitor billing-related costs and recommend efficiency improvements. Reconcile customer statements promptly and resolve discrepancies. Maintain compliance with IFRS, VAT, and audit requirements. Complete month-end and year-end closures efficiently. Support audits with accurate documentation and minimal findings. Stay updated through continuous learning and professional development.
Qualifications/RequirementsBachelor’s degree in Accounting, Finance, or related field. Minimum 2–3 years of experience in billing or accounting, preferably in the car rental or automotive sector. Proficiency in MS Excel and billing systems (e. g. Speed Auto, WheelSys etc. )Strong attention to detail, time management, and analytical skills. Working knowledge of UAE VAT and invoicing standards. Strong analytical and problem-solving skills to assess financial data and make informed recommendations. Good communication skills for interacting with management and other departments. Time management and organizational skills to meet deadlines and handle multiple tasks effectively.
