Main Purpose of the JobTo carry out inspections and surveys efficiently and timeously by conducting all work in accordance with the Company's Quality Management System, operating procedures, applicable international or national standards as well as client requirements, thereby ensuring the provision of quality service to clients.
As a coordination trainee, coordinate daily inspection activities and administrative requirements to ensure efficient delivery of inspection services, liaise with customers and inspectors to schedule all inspection activities as per operational requirements, ensure timely and efficient entry of inspection job records including input of relevant data, prepare and distribute daily updates and final inspection reports to the customers where necessary, review all inspection reports prior to releasing reports to the customer to ensure the reports adheres to Company standards and customer requirements.
ResponsibilitiesAccountabilitiesTasks / specialisations OperationsTo ensure all inspections and testing is carried out in accordance to the standards and requirements of appointment/contract conditions and client requirements by: Executing the jobs through the assessment of job requirements and the utilization of appropriate resources. Liaising with port authorities, storage companies, vessel agents and other relevant bodies on, for example, vessel ETA’s, tankage nominations, vessel stowage, vessel ETC, line fullness checks etc. to expedite operational appointments. Communicating with clients on the progress of jobs and answering queries. Reporting potentially sensitive operational problems / situations immediately to senior managers.
Investigating disputes and discrepancies relating to job assignments and compiling official reports of findings and recommendations to management. Compiling job reports / certificates and checking those reports prepared by others, prior to submission to clients, ensuring that the style of the company is adhered to at all times, and that the content of the documentation is accurate and complete. Ensuring that systems, procedures and standards are adhered to at all times to support the rendition of services to clients within the company’s expectations and parameters and any relevant legislative requirements.
Inspection (Surveying)To conduct inspections (surveying) according to appointment conditions and quality management system standards. To supervise the loading and discharge of shipments with the aim of eliminating / limiting delays and to ensure quantity losses and /or quality deterioration are eliminated. To conduct field operations related activities in line with international/national standards e. g. MPMS, client instructions. Activities include the following:
Gauging of shore tanks/vessel’s tanks/road tankers/railcarsSampling of shore tanks/vessel’s tanks/road tankers/railcars/linesCleanliness inspections of shore/vessel/road/railcar tanks and linesWitnessing of water drainingSealing of applicable valves and linesCalculation of quantitiesLabeling and registering of samples drawn. To ensure good housekeeping of the sample store and office at all times. To ensure the safety of oneself, others and the surroundings by following the environmental, health and safety policies and regulations.
Comply with any reasonable request which may be delegated from the Branch Manager or Top management on an individual basisLiaise with laboratory supervisor to ensure that testing requirements are communicated timeously and necessary specifications and certificates are available.
