Job Description

Purpose of the Role:To provide comprehensive business-support across the venue operations for the Velodrome project — driving financial, administrative, marketing, operational systems and compliance functions to ensure the venue meets its strategic, operational and stakeholder-objectives.Key Responsibilities:Financial Processes & AnalysisProcess purchase orders and supplier/vendor invoices; manage membership payments, bookings and site-hire agreements.Support financial planning, forecasting, analysis and regular performance reporting to management.Manage accurate records of bookings, invoices, payments, contracts, and financial data.Marketing CollaborationWork with the Marketing Manager to support promotional activities for the venue: newsletters, email campaigns, social-media updates, website content.Assist in updating the venue’s digital presence (website/app) with current venue programmes, offers and events.Business & Administrative SupportProvide administrative support to Managers: document handling, coordination of internal meetings, tracking actions and follow-up.Serve as main contact for tenanted lease-partners: day-to-day queries, coordination between partners and venue operations.Sales SupportAssist the Corporate Manager in executing sales strategies: preparing proposals/contracts, coordinating client relationships and follow-ups.Support client onboarding, venue tours, move-in/out coordination as required.Operational Systems & Programme AccuracyOversee technical and customer-support operations related to booking systems, bike storage, performance analytics.Ensure accuracy of all publicly advertised programmes (online booking system, website, app).Customer Service ExcellenceSupport the administration and execution of events: from setup, communication with visitors and stakeholders, to feedback tracking.Maintain high service standards across all interactions (phone, email, in-person) and ensure CRM data is maintained accurately.Quality Management, Audit & ComplianceMonitor and maintain the venue’s Quality Management System (QMS): policies, procedures, checklists must be current and properly filed.Lead or support follow-up actions from internal and external audits.Ensure compliance with venue, corporate and regulatory requirements (health & safety, labour, environmental, financial).HR Administration & ReportingSupport recruitment-related administration: onboarding, induction records, training attendance, sickness/absence monitoring.Manage timesheets, payroll monitoring and support bi-annual performance management processes.Generate reports and presentations on events, sustainability, finance, performance metrics aligned with corporate format.Qualifications & Experience:Bachelor’s degree in Business Administration, Finance, Facilities Management or related field; additional certification in property/venue/facility management is advantageous.4-6 years (or more) of experience in business support, operations, administrative, financial or venue-management roles (senior-associate level).Strong understanding of financial processing, reporting, forecasting.Experience with marketing support, sales coordination, customer service in a venue, facility or sports/leisure environment preferred.Proficient in MS Office; experience with CRM, booking systems or venue management software is a plus.Excellent organisational, communication and stakeholder-management skills.Demonstrated ability to proactively identify and resolve operational, facility or business-process issues.High level of professionalism, reliability and strong team collaboration.
