We put the customer and our community at the centre of all that we do, ensuring our services are efficient and accessible.As a Business Support Officer, you will contribute to the safe, effective, and efficient delivery of support services to the Waste and Sustainability department and the Hume community.What you’ll be doing:Manage service requests and enquiries from the public in accordance with Service Level Agreements. Ensuring that telephone enquiries from residents/ratepayers are answered promptly in a polite and helpful manner and the query dealt with or referred to other Officers/Departments as required. Provide clerical support including word processing, agenda preparation, and minute taking. Maintain online registers and databases. Monitor shared inboxes proving timely responses to all enquiries in accordance with business unit processes. Report building maintenance and technical issues to the relevant department and monitoring the outcome. Develop and maintain up-to-date guides, templates, forms and collate documentation. Create purchase orders and receipt invoices for purchases across the Waste and Sustainability department, ensuring all invoices are receipted by the invoice due date, managing journal requests as required and adhering to Council’s procurement, delegations and financial policies and guidelines. Reconcile financial records, prepare reports, and maintain accurate spreadsheets relating to purchasing activity across the Waste and Sustainability department. Compile and analyse Waste and Sustainability data (e.g. KPIs, WLIs). Prepare, collate, and submit data and information used for internal and external reporting, including but not limited to Hume City Council Annual Report, Local Government Performance Reporting Framework, and the Local Government Annual Waste Survey. The skills and experience you’ll bring to the role:Strong knowledge of administrative processes and procedures. Understanding of purchasing processes and associated local government policies. Demonstrated experience in the computer-based systems including databases, spreadsheets, CRM and purchasing systems. Experience in customer service and clerical administration. Strong customer service and communication skills, with the ability to interact professionally with diverse individuals. Ability to maintain confidentiality and produce accurate reports and correspondence. Ability to gain cooperation and assistance from clients, other employees, and members of the public in the administration of well-defined activities. Required Certifications & QualificationsTertiary qualifications or relevant experience in Business Administration or a related field. Current driver’s licence.
