Chief Administrative Officer (CAO) for UHNW PrincipalHours | Full-timeLocation | Remote, but ideally based in Central / Eastern EuropeSalary | €150,000OverviewWe are seeking an experienced Chief Administrative Officer (CAO) to manage and take full accountability for a high-performing administrative team supporting a UHNW principal. You will lead, coordinate, and oversee the daily operations of the Executive Assistants and supporting personnel, ensuring the principal’s workflow is seamless, efficient and uninterrupted.This is a hands-on, strategic position requiring exceptional organisation, problem-solving and leadership skills. The Chief Administrative Officer will oversee complex schedules, travel and operational logistics, implement processes and SOPs, and coordinate high-profile meetings and events across multiple countries and time zones.The role reports directly to the principal and Chief of Staff, with full responsibility for ensuring the team meets objectives and operates efficiently.Job responsibilitiesLead and be accountable for a team of 3 - 4 Executive Assistants and 10 - 15 supporting personnel, ensuring tasks are prioritised, tracked and completed efficiently in alignment with the principal’s objectivesMaintain and manage the principal’s calendar, ensuring all meetings, materials, and briefings are prepared and coordinated across multiple time zones (EU, US, Singapore)Plan and execute complex travel itineraries, transfers, and logistics, ensuring seamless connectivity, timing and operational supportCoordinate healthcare, fitness, and personal services, including vetting doctors, clinics, equipment and staffProcure, stage, and track office, gym, and IT equipment; liaise with IT/Admin to resolve issues proactivelyOrganise multi-party family travel and events, including tutors, specialists and relocationsImplement, maintain, and continuously improve structured processes, SOPs, and checklists to drive efficiency and accountability across all administrative functionsServe as the primary contact for internal and external stakeholders, ensuring clear communication and smooth operationsMaintain strict confidentiality and ensure all security protocols are followedCandidates must be / have:Proven leadership experience managing high performing administrative teamsHands on approach; able to perform tasks across business and personal domains without exceptionStrong project management skills with the ability to coordinate multiple tasks and stakeholders simultaneouslyExcellent decision making skills, with the ability to optimise time, cost and resources effectivelyFluency in Russian or Turkish, both written and spoken, would be desirableHigh attention to detail, adaptability, and resilience in a fast-paced, dynamic environmentStrong communication and interpersonal skills; able to interact with VIPs, external partners and internal teams diplomaticallyNaturally curious, proactive and solution oriented, with a drive to deliver the highest quality outcomesFlexible and ready to travel as required; ideally already located in or willing to relocate near Germany, Bulgaria, or TurkeyCommitment to confidentiality, security and data protection in all aspects of workHoursFull-time, remote, with a high level of responsiveness required to support the principal effectively.LocationCentral/Eastern Europe.
