Under the direction of the Recreation and Community Services Administrator, the Office Assistant is responsible for providing a wide range of clerical support and customer service for the Santa Clarita Sports Complex Gymnasium, Youth Sports, Outdoor Recreation, William S. Hart Park, and The Rink Sports Pavilion program areas of the Recreation and Community Services division. This is a part-time, regular, benefitted position, scheduled to work 20 hours per week, Monday through Friday. Benefits and accrued leave will be pro-rated based on the hours worked each week.
This position may be required to work varying hours, including nights, weekends, and holidays as needed. Duties and Responsibilities:
Provides clerical support and customer service to staff and the public by phone, in-person, and through e-mail communications Types, proofreads, and edits a variety of documents, reports, general correspondence, and marketing materials, such as flyers and newsletters; maintains and updates program webpages Maintains calendars and schedules; sets up for meetings Processes purchase orders, requisitions, invoices, and payments Assists with facility reservations and service requests Tracks, inventories, orders, and organizes supplies Registers patrons and processes payments, refunds, and transfers for programs and classes using recreation software program; tracks payment plans and waitlists Inputs program registration information into recreation software program Provides records management functions for program areas, including tracking records and preparing files for annual destruction Attends team, division, department, and Citywide meetings Tracks part-time staff hours and certifications Assists in creating social media updates or marketing materials Provides back-up front counter and phone coverage Provides backup clerical support to the division’s Administrative Assistant Performs other duties as assigned
