About The JobThe Client Relations Officer is responsible for managing and enhancing relationships with company’s clients, including hospitals, government agencies, NGOs, and procurement bodies. The role ensures excellent customer experience, timely communication, efficient order coordination, and professional support throughout the tender and supply processes. The position also includes responsibility for making deliveries to clients when required. This role demands strong communication skills, customer service orientation, and knowledge of pharmaceutical and medical device supply operations.ResponsibilitiesClient Relationship Management Serve as the primary point of contact for assigned clients, ensuring prompt and professional communication. Build and maintain strong relationships with hospitals, clinics, procurement officers, NGOs, and private-sector partners. Understand client needs and provide accurate information about products, order status, and service expectations. Conduct regular follow-ups to ensure client satisfaction and identify opportunities for improved service delivery.Order & Supply Coordination Work closely with procurement, warehouse, and logistics teams to coordinate client orders and deliveries. Ensure timely processing of purchase orders, pro-forma invoices, delivery notes, and confirmations. Track order progress from submission to delivery, promptly communicating updates to clients. Support documentation for tender-awarded contracts and ensure timely supply in line with contract terms.Deliveries to Clients Make deliveries of medicines and medical devices to clients as required. Ensure that all delivered items match delivery notes, purchase orders, and quality standards. Obtain appropriate delivery confirmations and ensure proper documentation for all deliveries. Maintain professionalism and customer service excellence during all delivery interactions.Issue Resolution & Support Address client concerns, complaints, product queries, and service issues, ensuring fast and effective resolution. Escalate complex issues to appropriate departments while ensuring timely feedback to clients. Maintain a log of client issues and resolutions to support continuous improvement.Account Management Maintain an updated database of client records, contracts, communication logs, and order histories. Monitor contract performance to ensure compliance with delivery timelines and quality requirements. Prepare client activity reports, feedback summaries, and service improvement recommendations.Communication & Reporting Provide regular updates to the business development and management teams on client interactions, challenges, and emerging opportunities. Support tender and sales teams by providing client insights and feedback that contribute to business growth. Represent Consolation Medicare Limited professionally at meetings, presentations, and industry events.Requirements 3 years of experience in client relations, customer service, sales support, or supply-chain operations preferably in the pharmaceutical, medical device, FMCG, or healthcare sector. Experience working with hospitals, NGOs, government procurement bodies, or medical distributors is an added advantage.Apply now
