Role Description This is a full-time on-site role for a Client Relationship and Operations Manager located in Sydney, NSW. The Client Relationship and Operations Manager will be responsible to act as trusted support to the Private Wealth Director in managing and deepening client relationships, ensuring customer satisfaction and managing daily operations. The role involves administrative tasks to evaluate and enhance business processes, effective communication with clients and team members, and managing the operational aspects of the private wealth team.Serve as a secondary point of contact for high-value clients, ensuring their requests, follow-ups, and ongoing service needs are handled promptly and with discretion.Maintain regular communication with clients to reinforce trust and connection, ensuring the Director is well-briefed on client developments and preferences.Assist the Director in preparing for client meetings, reviews, and events, including background research, documentation, and coordination.Attend select client meetings and events with the Director to represent Rivkin Private Wealth and strengthen the client relationship experience.Identify opportunities to enhance the client experience, provide feedback from client interactions, and proactively address service or communication gaps.Team Leadership & OversightManage and mentor a team of three administrators, ensuring daily operations are efficient, accurate, and client-focused.Allocate responsibilities within the team, monitor workloads, and ensure all service-level commitments are met.Implement and maintain best-practice workflows to streamline administrative and client service processes.Foster a culture of accountability, teamwork, and professional excellence.Operational ManagementOversee client onboarding, account setup, portfolio maintenance, and reporting.Ensure compliance with internal policies, AFSL obligations, and regulatory requirements.Identify opportunities to improve client service delivery and operational efficiency.Work closely with technology, compliance, and investment teams to ensure alignment between operational processes and client experience.Client Engagement & ExperienceSupport the Private Wealth Director in maintaining a high standard of professionalism and consistency across all client touchpoints.Coordinate the organisation of client events, private functions, and tailored experiences to enhance engagement and retention.Capture and document client feedback, preferences, and service milestones to inform ongoing relationship management.Key Skills & AttributesExceptional interpersonal and communication skills, with the ability to build rapport quickly and represent the firm with professionalism.Strong leadership and team management experience within financial services or private wealth.Highly organised with excellent follow-up and attention to detail.Demonstrated understanding of investment products, portfolio administration, and compliance frameworks.Collaborative mindset with a client-first approach and commitment to delivering premium service.Qualifications & ExperienceMinimum 5–7 years’ experience in private wealth management, financial advisory, or related client service leadership roles.Proven experience supporting senior executives or directors in a client-facing environment.Bachelor’s degree in Finance, Business, Commerce, or related discipline preferred.RG146 certification or equivalent (advantageous but not mandatory).
