·        Minimum of 3+ years of experience in a legal administrative position·        Strong working knowledge of MS Word, Excel, PowerPoint and Outlook·        Demonstrate accountability and show a proactive approach to tasks and situations·        Maintain tact and diplomacy, trust and confidentiality·        This is a client interfacing role, candidates must exhibit strong professional communication skills, both oral and written·        Ensure flexibility around contracted working hours, taking full responsibility for meeting the requirements of the role·        Ability to handle high pressure situations with grace·        Demonstrate a positive “can do” attitude in all aspects of the role, taking personal responsibility and ownership and behaving professionally at all times·        Knowledge of various legal billing systems is a plus Overview:

 The Legal Assistant is responsible for maintaining sensitive and confidential client and department information. Position strengths include the ability to anticipate next steps, strong organizational skills, and ability to effectively prioritize work to meet deadlines.  Essential Duties and Responsibilities: ·        Management of monthly billing cycles and client invoicing·        Collaborate with Accounting and assigned timekeepers to facilitate the billing process, including preparing editing and finalizing bills. ·        Act as concierge for partner - Daily maintenance of calendars and organization of the day-to-day schedule of attorneys, to include the identification and resolution of potential issues.

·        Coordination of meetings, to include the consideration of and responsibility for ensuring all necessary arrangements are made. ·        Create, edit and proofread complex and practice-specific legal documents, forms and correspondence, ensuring accuracy. ·        Proactive management of attorneys to ensure that they attend meetings on time and with the appropriate documents/presentations. ·        Proactive management of emails, voicemails and general mail, using initiative to route emails to the appropriate individuals for swift response and action, ensuring that tasks are followed up·        Planning and coordination of comprehensive travel programs, to include booking flights, hotels, car transfers, and preparation of itineraries etc.

·        Type letters, correspondence, presentations, and reports, including digital dictation if applicable. ·        Prepare and ensure availability of necessary agendas, presentations and meeting papers, including printing and timely distribution. ·        Create and maintain client/matter lists. ·        Organize and maintain physical and electronic documents and files and/or working files. ·        Process expense reimbursements, payment of invoices and prepare check requests. ·        Enter attorney time into time-keeping system. ·        May assist in the organization of events and the preparation of marketing materials – strong PowerPoint skills a must.
