Job Summary: The HR Assistant supports the human resources team by carrying out a range of administrative and operational tasks. Responsibilities include managing and updating employee records, preparing HR documentation, assisting in recruitment activities, and responding to staff inquiries. The role demands excellent organizational abilities, a keen eye for detail, and the capacity to manage sensitive information with confidentiality and professionalism. Key Responsibilities: • DMCC & Government Procedures: Manage all DMCC portal activities including employment and dependent visa processing, medical tests, Emirates ID, license renewals, portal reports, corporate document requests, balance control, and compliance with DMCC/government notifications.
Resolve portal or free zone issues as needed. • Insurance & Office Lease: Coordinate and maintain records for office, employee health, and insurance; handle office lease renewals, payments, and landlord communications. • Employee Records & Administration: Maintain staff and dependent profiles, attendance, leave, and absence records; prepare administrative reports; track company mobile usage. • Document Control & Legalization: Maintain originals and records of corporate, shareholder, and agreement documents; arrange document legalization, certifications, attestations, and management travel for company/bank account openings. • HR Operations:
Issue HR letters, assist with recruitment, payroll preparation (including SIF files and overseas coordination), pay scales, benefits, and appraisals; manage employee relations, disciplinary/grievance cases, and End of Service calculations. • Compliance & Reporting: Ensure adherence to labor laws, ISO, and ESG standards; assist with ESR notifications; maintain related policies, procedures, and documentation. • General Support: Prepare e-signatures/stamps, assist with KYC and bank registration, and support management with ad-hoc HR and administrative tasks. Qualifications: Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
At least 2-3 years of experience in an HR assistant or similar administrative role. Knowledge of human resources principles, practices, and procedures. Familiarity with employment laws, regulations, and compliance requirements. Knowledge of HRIS systems and proficiency in Microsoft Office Suite. Ability to maintain confidentiality and handle sensitive information with discretion.
