This role is crucial for ensuring compliance with both internal CBRE and client requirements.What You'll DoOperations & Administration:Provide outstanding customer service to clients and tenants.Conduct site inductions and participate in the helpdesk, logging, distributing, and closing reactive calls on the designated system.Support KPI management and assist the team with CMMS/FMIS (SI7) to ensure timely closure of tickets.Continuously develop and improve systems to maximize efficiency.Prepare and distribute monthly newsletters to various communities within the building.Maintain up-to-date signage.HR administrationEnsure fully correct records are maintained and participate in quality checks of the site.Suggest improvements to existing processes and solutions to enhance team efficiency.Show behaviours consistent with CBRE RISE values.Work within guidelines and policies.Back-up fleet administration & event set-up organisationContract & Financial ManagementOnboard vendors for reactive and planned works, and manage sub-contractor paperwork.Drive commercial performance by understanding contractual commitments, promoting better buying practices, and utilizing preferred suppliers.Conduct supplier surveys on "My Supplier."Manage the Procure-to-Pay (P2P) process, creating and receipting Purchase Orders (POs) on behalf of the client.Prepare weekly reports, including Work in Progress (WiP), Debt, and Invoice Pool, and provide ad-hoc reporting as requested.Act as the Coupa P2P system champion.Track vendor performance utilizing established and new processes and systems, preparing detailed reports for internal and external stakeholders.Act as a financial and operational systems champion, suggesting cost-saving opportunities.Review processed invoices and ensure accurate cost center coding.Coordinate the billing application, calculate margins, raise invoices, and submit to clients, working closely with the site team and head office for accurate processing of quotations and purchase orders.Review and approve maintenance billing invoices and projects as per contracted agreements, ensuring consistent delivery of core operational and financial outputs.Respond to inquiries on financial reports and deliver monthly reporting support on contract reviews.Quality & ComplianceAssist in ensuring compliance with Health & Safety requirements, including HSE reporting and promoting a safe work environment.Maintain QHSE documentation with team and ensure its availability & compliance using company systems (ie Elogbooks)Coordinate sub-contractor files, ensuring statutory compliance with QHSE (Quality, Health, Safety, Environment) requirements.Coordinate compliance procedures and identify safety & operational issues.Log hazards and customer feedback on the QHSE Management Portal.Share best practices and innovation.What You'll NeedSkills & Experience:Good communication skills in English (written/oral), Dutch, and French are essential.Computer literate with good knowledge of Microsoft Office products (Word, Excel, Outlook).
