This position must be committed to making every experience memorable all while having fun and relishing the incredible atmosphere of the resort.As a Control & Inventory Specialist, you assist and support the Engineering Division with maintaining a current and running inventory of items needed to keep the resort functioning. Maintain an organized & efficient inventory and assist the Engineering Department with the smooth operation of all Engineering functions. Provides general or technical information regarding departmental functions and policy to the Engineering Associates and resort departmental teams.Essential Functions(The following statements are intended as general illustrations of the work in this job class and are not all-inclusive for this position.)Maintain a clean and organized workspace. Follow all standard operating procedures through individual effort and teamwork, all guest contact will be handled in a friendly and professional manner. Respond to guest needs promptly to ensure complete guest satisfaction.All aspects of daily office duties should be handled in a professional, timely manner. General cleanliness and organization should be a primary objective.Remain informed of safety procedures, equipment, and protective clothing requirements to consistently ensure the safety and security of all guests and associates. Strictly adhere to resort policy and procedures to be responsive to guest and associate needs in emergency situations.Observe all rules and regulations, dress code/appearance, and behave in a professional manner. Demonstrate teamwork responsiveness when asked to do any task consistent with resort policies.Follow proper procedures in use and maintenance of all communication equipment and strictly adhere to resort policies and procedures regarding communication of information.Participates in planning, development, installation and maintenance of general accounting and other related fiscal functions. Maintains and analyzes fund accounts, reviews and projects expenditures and prepares fiscal reports.Assists the Office Manager with the personnel system, prepares payroll, and provides related information to associates as needed.Assist and advise department head's and staff members of budgetary and related problems; prepare for approval by department head's initial budgetary recommendations by considering past requirements and expenditures and present program plans.Oversee proper allocation of invoices to funding source and expense categories. Oversee research and reallocation of charges on cost sheets as necessary.Monitor costs against budgets and obligated funds.Maintain direct, open communications with management and staff concerning financial issues and procedures affecting Engineering operations.Monitor the review of subcontractor vouchers for accuracy and compliance with budgets and billing requirements and provide initial approval before submission to Accounting and Billings DepartmentsPrepare weekly, monthly, quarterly, annual, and accrual financial reports for submission to Engineering ManagementWork closely with Accounting to resolve issues and ensure correct procedures are followed.Assist in maintaining an orderly and efficient purchase order system (DPO). Review pending purchase orders with technicians and purchasing to assure items ordered are received in a timely manner.Work with Accounting to make sure all invoices for services or parts ordered are sent in for payment.Assist in maintaining and monitoring service orders in HotSOS, setting up new users and running reports weekly.Attend Resume meeting weekly to review groups and gain an understanding of the responsibilities of the Engineering department. Communicate this information to department.Work with the Housing Manager to ensure all Associate Housing work orders from inspections and associate concerns are completed in a timely manner.Follow all Resort and Engineering SOP's regarding inventory procedures. Maintain clean and organized inventory section.Make sure all Inventory tools and equipment are properly signed out. Maintain history of all items signed out.Make sure items delivered by P & L Department correctly match items ordered. Assist in maintaining Engineering Req. status log.Utilize Manager Plus to accurately maintain Engineering Inventory of parts and material. Add new items and deduct items no longer used as necessary.Maintain proper account/inventory of all Engineering/Nemacolin Assets. Create requisitions for parts needed to replenish Inventory stock.Assist in developing minimum and maximum par levels for parts and consumables.Issue tools and communications equipment to Engineering staff and maintain check out sheets.Incumbents may perform any combination of the essential job functions related or unrelated as required or assigned by the Director of Engineering or designee per Engineering Team duties, may include but not limited to; snow removal, MP2 System Preventive Maintenance Program, rotating shift or any other unrelated Engineering job functions.Knowledge, Skills And Abilities RequiredAn associate degree in Business Management, Supply Chain Management, Hospitality Management, or a related field preferred; experience or a combination of education and experience will be considered.Work generally requires one year of stocking, moving, storage, inventory, clerical, accounting, or related experience to acquire a practical knowledge of inventory transactions and record keeping requirements and techniques.Two years of experience in a hospitality material control or maintenance supply setting in materials management where a practical knowledge of hospitality services inventory transactions and recordkeeping requirements and techniques are acquired may be substituted for the above requirements.Must be able to speak English fluently.Must be at least 18 years of age.Intermediate or higher skill level in Microsoft Word and Excel, and database experience preferred.This job description cannot possibly include a complete comprehensive listing of all the activities, duties or responsibilities that may be require by the organization and/or members of management.
