Position OverviewWe are seeking a proactive and detail-oriented professional to join our well-established APAC legal team. This role will report to the Manager, Senior Paralegal, APAC and work closely with the broader legal team to support corporate secretarial functions, contract administration, and general legal operations across the region. The ideal candidate will have prior experience in a multinational company or legal department, with a strong understanding of corporate governance and regulatory compliance across APAC jurisdictions.Corporate Secretarial DutiesManage corporate secretarial matters for all Vantage’s entities across APAC region, working closely with external service provider and internal stakeholders in the process.Ensure timely and accurate statutory filings and maintenance of corporate records in compliance with local regulations.Support incorporation and ongoing management of legal entities across APAC.Coordinate and manage event-based changes (e.g., changes in officeholders, updates to statutory records).Prepare corporate documents (including notice, resolution, minutes of meeting) and organise statutory meetings, such as AGM/EGM/Board meetings, attend board meetings and take minutes when required.Supporting internal stakeholders on KYC request for corporate information, documents etc.Contracts AdministrationFacilitate execution, tracking, and filing of contracts and legal documents.Maintain and update contract management systems and databases.GeneralAdminister and maintain databases of legal documents, agreements, and corporate records.Coordinate with notary publics for notarization and legalization of documents.Provide general administrative support to the legal team, including document management and process improvement initiatives.Qualifications & RequirementsDiploma or degree in Paralegal Studies or a related field.4–6 years of relevant experience in corporate secretarial work, preferably within a multinational company or legal department.Familiarity with APAC regulatory environments and statutory requirements, especially prior experience supporting legal or corporate secretarial functions in India and/or Malaysia being viewed favourably.Strong interpersonal and communication skills, with a collaborative and team-oriented mindset.Experience with contract management systems (e.g., IronClad), and proficiency in Microsoft Office, DocuSign, SharePoint.Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.High level of integrity and discretion in handling confidential information.Preferred AttributesPrior experience supporting legal teams in a fast-paced, regional or global environment.Ability to work independently while maintaining alignment with broader team goals.A positive, learning-oriented attitude and willingness to contribute to a dynamic legal function.
