Job Description

We are seeking a highly organized and proactive Operations Assistant to support the smooth running of our administrative, HR, supply chain, and operational functions. This is a multi-faceted role ideal for someone who thrives in a fast-paced, detail-oriented environment and can confidently coordinate across departments. Location: Dubai, UAEIndustry: FMCG / Agriculture / Food DistributionAvailability: Immediate joiners preferredKey Responsibilities: Coordinate with HR on staff leaves, visas, IDs, and onboarding/offboardingHandle visitor management, pantry supervision, and office inventoryManage vehicle permits, leasing coordination, and fuel card trackingOversee petty cash expenses and reporting in coordination with FinanceMaintain customer master data and support sales documentation.

Archive delivery records, issue SOAs, and assist with GRV postingsTrack and procure office and pantry supplies; manage utility billsEnsure timely renewals of trade licenses, Ejari, and other contractsMonitor official inboxes and support vendor master data updatesTrack Business Development Agreements and support sales teamsCoordinate laptop procurement and onboarding logisticsLiaise with QC teams to manage customer complaints and feedbackProvide backup support for supply chain billing and delivery recordsRequirements:

Bachelor’s degree in Business Administration, Operations, or related field2–4 years of relevant experience in operations or admin coordinationProficiency in MS Office and ERP systems (preferably SAGE, Odoo)Strong organizational, multitasking, and communication skillsAbility to manage multiple priorities under tight deadlines
