Job Description

Position OverviewReporting to the Procurement Manager, the Procurement Officer will provide logistical, administrative, and procurement support to ensure timely and cost-effective acquisition of goods and services. The officer will help maintain high standards of integrity, accuracy, and compliance with procurement procedures across all stages of the procurement cycle. KEY RESPONSIBILITIES1. Coordination of Procurement ProcessesSupport the Procurement Manager in procurement planning, coordination, and documentation. Receive and process all incoming requisitions, ensuring efficient workflow and adherence to internal procedures. Verify delivery of goods against Local Purchase Orders (LPOs) and facilitate the preparation of Goods Received Notes (GRNs) for approval.

Follow up with suppliers to track orders and ensure timely delivery to requesting departments. Maintain and regularly update the supplier database to support informed purchasing decisions. Assist in the preparation, issuance, and follow-up of LPOs. Monitor the status of existing requisitions and maintain regular communication with suppliers. Prepare quotation analyses for review and approval. Support hospital departments in using the Odoo procurement system effectively. Ensure full compliance with BCHM’s procurement policies and procedures. 2. Tender ProcessesAssist in the preparation and issuance of tender documents and solicitation of bids/quotations.

Participate in the establishment of efficient procurement frameworks that promote organizational effectiveness. Analyze quotations and compile relevant procurement reports. 3. Internal and External Stakeholder RelationsFoster and maintain positive working relationships with both suppliers and departments’ representatives. Respond to internal inquiries regarding outstanding requisitions and procurement status updates. 4. Record-Keeping and Inventory CoordinationEnsure accurate and up-to-date procurement records are maintained and organized in a well-structured filing system. Coordinate with the inventory team to ensure stock levels are adequate and appropriately tracked. Support in scheduled stock-counts. Liaise with inventory team and other departments to reconcile stock levels with procurement requirements.

 Required Qualifications and ExperienceDiploma in Procurement and Supply Chain Management from a recognized institutionThose with a Bachelors Degree in procurement and supply chain management will have an added advantageMinimum of 3 years' experience in a procurement or supply chain role. Proficiency in procurement and inventory management software (e. g. , Odoo). Registered member of the Malawi Institute of Procurement and Supply (MIPS). Competencies and SkillsStrong written and verbal communication skills in English. Proficiency in Microsoft Office (Excel, Word, Outlook). High attention to detail and accuracy. Ability to identify and manage procurement risks effectively. Strong organizational and time management skills.
