This position provides administrative support to the Design Office Team and functions related to the Design Office specifically.Responsibilities: Technical ExpertiseCarries out all Design Office administration responsibilities for the project, assists with capturing and formatting of project documents not limited to specifications, procedures and project reports:Sets up new project templates.Captures mark-ups to squad checked documentation.Takes and/or formalizes and distributes minutes of meetings to team members.Assists with project close-out, close out and lessons learnt reports.Technical knowledge of the software and workflows used in the Design Office (specifically excel and VAULT).Operational FunctionAssist the Design Office Manager in the day-to-day administration of the DO Administration.Assist, liaise and co-ordinate with the Design Office Lead and project design team to ensure adherence to project and client requirements and schedule.Ensure correctness of drawing numbers, drawing titles and drawing revisions at every register update (Vault)Participate actively in quality and process improvement.Emphasize continuous improvement. i.e. electronic file management system; internal and external department communications tools and databases.Responsible for preparing and maintaining drawings and documentation relating to systems, programming, operations and procedures which may include user manuals, reference manuals and project documentation. Issues to Archiving department or maintains an internal documentation archive. Prepare and populate the Drawing Registers as setup by the Design Office Leads, updating the registers on a weekly basis as instructed by the Design Office Lead. i.e. drawing progress and time spent on drawings. Prepare, populate and be responsible for the upkeep of the Design Office Change Control Register in conjunction with the Design Office Lead.Assist in preparing drawings in conjunction with the Design Office Lead for Design Review and Ensures that interactions with all stakeholders are conducted in professional and respectful manner.Ensures that all relevant stakeholders are kept informed and updated on the technical aspects of the project.Ability to work on own initiative whilst taking in to account the wider needs of the team.Ability to work well under pressure, work on multiple tasks at one time, prioritizing workloads and meeting deadlines.Must be able to work with a high degree of accuracy and significant attention to detail and possess excellent organizational skills.We value diversity and the benefits it brings to achieving our objectives, enhancing our reputation, and attracting, engaging, and retaining talented people.
