This role involves ensuring maximum efficiency, resource management, and compliance across all non-core business functions, allowing our creative and commercial teams to focus on brand growth.Key Responsibilities1. Strategic Operations & Resource ManagementDevelop and implement administrative policies and procedures to enhance efficiency across all departments (HR, IT, Finance, Office Management).Oversee and manage administrative budgets, ensuring cost-effective utilization of company resources and vendor management (e.g., procurement of office supplies, service contracts).Act as the point person for high-level logistics planning related to administrative needs.2. Facility and Infrastructure OversightManage the physical infrastructure of the Kuala Lumpur headquarters, ensuring a safe, professional, and visually appealing work environment that reflects our light luxury brand standards.Supervise the IT and General Administration support teams, ensuring technology and office services meet the needs of a fast-paced e-commerce and creative business.Oversee company assets and inventory controls related to administrative functions.3. Compliance and Executive SupportEnsure administrative functions adhere to all regulatory and legal requirements, coordinating with legal and finance teams as necessary.Provide high-level administrative and strategic support to the CEO and Senior Leadership Team, including preparing reports, presentations, and managing key administrative projects.Optimise organisational structure and workflow to maintain agility and scalability as the brand expands.RequirementsExperience: Minimum of 3 years of progressive experience in corporate administration, business operations, or a similar executive management role, with significant experience leading administrative teams.Leadership: Proven ability to manage budgets, oversee facilities, and drive complex projects to completion.Industry Preference: Previous experience in the retail, e-commerce, or luxury goods sector is highly desirable.Skills: Exceptional strategic planning, negotiation, organisational, and decision-making skills. Must possess deep knowledge of corporate governance and operational compliance.Education: Bachelor’s degree in Business Administration, Management, Operations, or a related field.Language: Professional working proficiency or fluency in Chinese (Mandarin) is essential for communication with key stakeholders and regional operations.CompensationMonthly Salary: RM 12,000 (Negotiable based on experience and proven track record).Opportunity to lead critical operational functions for a growing, sophisticated brand.Comprehensive executive benefits package.
