As a member of this collaborative team, you can expect a safe, diverse and inclusive environment, and on-going learning and career development opportunities.About The RoleReporting to the Project Director, Senior Project Manager, or Project Controls Manager on the project, the Document Control Professional will have junior to senior level experience within the Document Control Space, specifically in a General Contracting, Engineering or Consulting background on major infrastructure projects and is responsible for receiving, managing, tracking, maintaining, and distributing documents to the project team. Presently document distribution will be using a combination of InEight and Unifier, experience in one or both would be an asset.As a Document Control Professional At Graham You WillThe incumbent is responsible for training team members on Graham’s internal and client-based procedures and processes (contractual obligations), which can vary by project. Set up Project Electronic Database Management System (EDMS), allowing for setup of a master document registryManage and interpret required documents and dataUnderstand project contractual requirements and align document control processes and procedures for the teamReceive, understand and process documents from the client, engineering firms, subcontractors, and team membersTransmit documents after confirming their accuracyDevelop and distribute reports (i.e. outstanding information, status of documents, etc.)Identify any discrepancies in the documents and rectifying or correcting as requiredEnter documents and manage documentation, submittals in InEight and UnifierCarry out revision controlEnsure the DDM (Document Distribution Matrix) is maintained and updatedTrain the team on how to use the EDMS in the office or in the field to find documentsMaintain constant communication with Quality and Scheduling teams throughout the project life cycleWork with the team on an effective turnover/project close out plansSubmit documents as per Graham’s contractual requirementsCompile weekly reports for the project teamProcess documents within 24 hours as per a service level agreementCollaborate with document control partners to attend to clients’ needs Maintain open and effective communication with all stakeholdersQualifications/Experience3-10 years of relevant document control experience with an engineering firm or general contractor High level of proficiency with electronic database management software.
