This role is fully onsite, with in-office attendance required five days a week. We are conducting a search on behalf of a well-established and growing finance company based in Vancouver. They are seeking a highly organized, proactive, and discreet Executive Assistant to support the Chief Financial Officer (CFO). This is a pivotal role that requires a detail-oriented and composed professional who can operate with a high degree of autonomy and integrity.
You will act as a strategic partner to the CFO — streamlining workflows, managing sensitive communications, and ensuring the executive office functions efficiently. The ideal candidate is not only exceptional at managing administrative responsibilities, but also skilled at anticipating needs, navigating shifting priorities, and supporting high-level decision-making with professionalism and poise. Key ResponsibilitiesProvide comprehensive executive-level administrative support to the CFO, including calendar management, scheduling meetings, and coordinating travel arrangements. Prepare, review, and edit correspondence, reports, and presentations, ensuring accuracy and professionalism. Act as the primary point of contact for the CFO, managing communications and liaising with internal and external stakeholders.
Organize and prioritize incoming requests, ensuring the CFO’s time is utilized effectively. Support board meetings and executive leadership meetings by preparing agendas, materials, and minutes. Assist with financial and operational reporting, including data collection and document preparation. Handle confidential information with discretion and maintain high professional standards. Coordinate special projects and ad hoc initiatives as assigned by the CFO.
QualificationsMinimum 5 years of experience as an Executive Assistant, ideally supporting C-level executives Background in finance, investment, or professional services environments preferred Understanding of corporate finance, accounting, or financial operations considered an asset Post-secondary education in business administration or a related field (asset) Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Demonstrated ability to handle sensitive information with discretion and sound judgment Excellent written and verbal communication skills Key Competencies Professional presence with a polished and articulate communication style Strong organizational and time management skills, with the ability to prioritize effectively High level of attention to detail and accuracy under tight deadlines Ability to work independently and take initiative in a fast-paced environment Strong problem-solving capabilities and adaptability to shifting priorities Proven relationship-building skills with both internal and external stakeholders Compensation & Benefits Base Salary:
