We embrace unique perspectives and empower each person to grow through professional development, career training and mentoring programs.Our people are our most important asset, and we are very proud of the quality of our team members.Job Summary:To manage the day-to-day running of Allied World’s Dublin officeJob Duties:Ensure all facilities in the Dublin office are working properly and manage the rectification of same when defects/issues materialise.Responsibility for and oversight of the ordering of all supplies for the Dublin office (instructing Allied World’s Dublin Office Administrator on which products to order and quantities for the same).Track and capture office operational expenditure using departmental budget monitoring tool and report monthly to the European Facilities and Special Projects Manager (“FSPM”)Day-to-day management of the portfolio of third-party service providers (“TPSPs”), including:The day-to-day liaison with TPSPs’ account management;Ensuring TPSPs meet SLAs and management thereof when these are not adhered to;Risk-assess all contractor work proposals and requests:Escalating any concerning and/or material pricing changes;Monitoring termination/contract renewal dates of all TPSPs;Managing the RFP process for TPSPs at contract renewal stages (research, creating specification, interviewing/interrogation of proposals, recommendations to the FSPM and Global Markets Insurance Chief Operating Officer (“GMI COO”));Working with Legal and Compliance and Procurement in relation to certain contracts under the guidance of the FSPM.Provide oversight to the Dublin Office Administrator in the production of meeting materials and presentation of management committee minutesImplement procedures to be compliant with H+S regulations and ensure safety details are provided to all personnel operating in the office.Attend building management briefings and disseminate building-related communications to the Dublin office.Provide facilities assistance to teams hosting events and meeting room/desk set-ups, reconfigurations, etc.Provide support on ad-hoc projects as directed by the FSPM/ GMI COO.Job Requirements:The employee will have:At least 3 years’ experience working in facilities and exposure to project-based workingImpeccable communication skillsA client-focused work ethicA strong team mentalityFlexibility in their approach to working methods such as being able to work collaboratively as well as, conversely, independently according to the circumstancesSelf-awareness to ask for support/escalate matters when necessaryA fluent command of Microsoft OfficeA proclivity to use their initiative to come up with solutionsWorking at Allied WorldOur team of over 1,600 professionals has deep expertise in the industry.
